Supplier engagement is a vital pillar of your journey towards a more sustainable supply chain and a significant reduction in your carbon footprint. Indeed your suppliers can represent up to 90% of your carbon emissions. You can begin engaging your suppliers right now in a simple and 100% autonomous manner.

This segment involves inviting suppliers to complete a questionnaire assessing their climate strategy, tailored to their sector of activity. To find out more about the questionnaire, you can read this article.

Step 1: Engage your suppliers

1.1 Supplier’s Onboarding

This phase aims to inform the suppliers about your Sustainable Procurement to improve the response rate.

To start this journey, go to Supplier Engagement - My Suppliers tab.

The first step consists of informing your suppliers about your initiative and the partnership with Greenly. To do so, you can use the email template available on the platform (and here) and customize it to suit your requirements.

1.2 Establish the list of suppliers

To create your list of suppliers, you can either go to the Supplier Engagement tab

There are three options for you to add your suppliers on the platform:

  • One by one, on the platform

  • Using our bulk import template

  • Sending them an invitation link so they can register themselves

🤝 Our recommendation:

  1. Start with Greenly: We recommend launching engagement through Greenly. Greenly handles the follow-ups (once every week), which enhances response rates.

  2. Follow up using your email address: If the response rate is unsatisfactory, you have the option to follow up with suppliers using your email address, utilizing the link available on the platform.

Of course, you can also choose to only engage your suppliers by generating the link and sending it to them externally.

Note: Do not consider independent suppliers (such as freelancers) or entities that are part of your own company; the questionnaire is not suitable for these suppliers at the moment.

If your suppliers have any questions or need more information about the survey, they can find all the information in the Supplier's specific knowledge base. In addition, they can contact the Greenly team via the chat box available on their platform or at the following email address: suppliers@greenly.earth.

Step 2: Handle your suppliers

My Suppliers tab offers you different useful features to manage and track your suppliers' answers.

2.1 Customize the display

You can customize your suppliers' table by choosing the columns that interest you the most.

2.2 Duplicate your suppliers from last year's carbon assessment

If you are on a multi-year journey with Greenly, you can duplicate the suppliers you had already added the previous years on the platform into this new year's analytics. This option will be available as a pop-up from "My suppliers" menu.

If you click on:

  • Do not duplicate → The pop-up will not reappear again.

  • Start → You will arrive on the page

  • Cross → The pop-up will reappear the next time you load this page.

You can select the suppliers from the previous years you wish to duplicate for the current year.

If you click on:

  • Duplicate → Once duplicated the pop-up will not reappear again

  • Cancel/Cross → The first pop-up will reappear the next time you load the page.

2.3 Access suppliers' scores and certificates

You can also visualize a new supplier pager that gathers certificates, recommendations to improve scores, and questionnaire answers' details by clicking on the 👁️ next to the supplier name.

2.3 Access suppliers' answers

While answering the questionnaire, suppliers will be able to leave you comments. You will be able to see them down their pager:

2.4 Categorize your suppliers

You can add specific buyer and supplier categories for each supplier by clicking on the pencil at the top right of the pager. You can also create your own category.

Now that your suppliers are engaged, you have gained access to crucial information for understanding your supply chain’s impact. This empowers you to develop an effective action plan: from encouraging your suppliers to rethink their practices to exploring other environmentally-conscious suppliers within our directory.
