Run promotional campaigns

Boost sales with time-limited promotions and countdowns.

Written by Manon Carneiro

Why run time-limited promotions?

A time-limited sale keeps the shop open for a defined period with a countdown visible to members. The "countdown effect" creates a sense of urgency that mechanically boosts sales: results observed show a 2x conversion rate and 2.9x sales volume compared to an always-open shop.

Recommendation: The top-performing resellers on Grinta don't run their shops continuously. They organise 3 to 5 sales periods per club per season, with short campaigns of 2 to 3 weeks and a focused offer of 5 to 10 products max per period. Everything is planned pre-season for smooth execution — no back-and-forth with clubs once the season starts.

Example campaign calendar:

  • Back-to-school pack (September): essentials — jersey, shorts, tracksuit, bag

  • Winter (October–November): parkas, rain jackets, beanies, gloves

  • Black Friday / Christmas — flash sale on a limited selection

  • Mid-season clearance — shift end-of-line stock

  • Spring relaunch — reactivate clubs after the winter break with an exclusive product

How to configure a time-limited sale

From the Clubs tab > General section, set the start and end dates and times. The shop publishes automatically, a countdown appears for members, and it goes offline at the end date. Nothing to do during the campaign — everything is automated. → See the article Create time-limited sales

Adjusting commercial conditions

In the same Clubs tab, adjust the discount in Discount management and the club commission in Commission management if needed. Each time-limited sale can have its own conditions — it's a great opportunity to test different offers!

Also consider free shipping: from your Reseller space, in the Shipping and delivery settings, set an amount above which shipping becomes free, club by club. Members then see a progress bar in their cart ("€X more to unlock free shipping") that nudges them to add one more item — a simple lever to boost the average order value of your time-limited sales.

Bonus: assign vouchers to your clubs to boost traffic and conversion at opening (e.g. €5 × 50 members directly from your reseller/sales dashboard). → See the article Assign endowments to your clubs

Build a focused offer

Concentrate on 5–10 high-potential products. A shorter offer is more readable, more attractive, and easier for the club to relay.

💡 If you have the Custom Products module, add exclusive "must-have" items (club scarf, collector jersey, seasonal item) — it brings freshness mid-season, beyond the standard teamwear catalogue.

Choose the right duration

For a back-to-school pack or end-of-season sale, a 2–3 week window is generally ideal. Too long dilutes urgency; too short doesn't give members enough time to order.

Notifying members and sharing the link

From the Clubs tab > General section, two actions are available:

  • Notify members: sends an automatic email to members who have already ordered or are registered in the shop's member list. Trigger at each new sales period. → See the article Re-engage club members at shop reopening

  • Shop link: copy the link and share it with the club so they can relay it to all their members (social media, WhatsApp group, email…).

💡 Also consider personalising the shop with a banner themed around your campaign to strengthen the visual impact. → See the article Customise the appearance of a club shop

Preparing orders

By grouping orders over a defined period, you simplify batch preparation. Find all orders in your fulfilment app at campaign close. The last grouped order is sent about 4 hours after the shop closes: close at 23:59 on the last day of sales so members can order until the very end.

💡 For suppliers without automatic order entry, plan 2–3 intermediate input sessions during the campaign to avoid stockouts.

With this process in place, time-limited sales are no longer a one-off tool — they're a structural growth lever across your entire club portfolio.

FAQs

Can I change the dates and times after activation?

Yes. Go to Clubs > General, update the dates and times in the Date field, and click Save.

What if the club has no members registered in its member list?

The automatic notification won't be sent to anyone. In that case, share the shop link directly with the club so they can communicate with their members. Take the opportunity to invite them again to register their contact list — a key element for shop success.

Can I reuse a shop for the next time-limited sale?

Yes, just set new dates and reactivate it.
