Using the Analytics Feature

The Analytics feature in Groovio, found under Groovio > Analytics, provides comprehensive insights into your studio’s performance, allowing you to track sales, memberships, and student growth over time. This feature also enables you to generate detailed reports for various aspects of your studio’s operations.

Viewing Analytics

By default, the Analytics view displays data for the current month. You can adjust the date range by selecting Start Date and End Date at the top of the page, then clicking the Filter button to update the view.

Key Metrics Displayed

The Analytics page displays the following metrics:

  • Classes Sales: Total revenue generated from class sales.

  • Service Sales: Revenue from one-time services like private sessions.

  • Packages Sold: Total number of packages sold.

  • Memberships Sold: Total number of memberships sold.

  • New Students: Count of new students who joined within the selected period.

Below the metrics, there is a Yearly Revenue Graph showing revenue trends across the year. Use the Year Selector to view historical data for past years.

Generating Reports

On the right side of the Analytics page, you have the option to generate various reports. Each report type allows customization by date range, location, and other relevant filters. Reports will download as a CSV file when you click Generate Report.

The available report types are:


Financial Reports

1. End of Day Report

What it shows: A complete breakdown of all financial transactions for a selected date range.

Key information includes:

  • Student names and contact information

  • Purchase details (memberships, packages, classes, products, services)

  • Transaction amounts, taxes, and fees

  • Payment methods and status

  • Date and time of each transaction

  • Staff member who completed the sale

Helpful for: Daily revenue tracking, reconciling payments, identifying transaction trends, and financial reporting.


2. Summary Report

What it shows: A high-level overview of total revenue broken down by category.

Key information includes:

  • Total revenue amount

  • Revenue by purchase category (memberships, packages, classes, etc.)

  • Number of transactions

Helpful for: Quick financial overview and understanding which revenue streams are performing best.


3. Failed Payment Report

What it shows: All transactions that did not complete successfully.

Key information includes:

  • Student information

  • Failed transaction details and amounts

  • Failure reasons

  • Payment methods used

  • Transaction dates

  • Total amount at risk

Helpful for: Following up with customers on payment issues, identifying payment processing problems, and recovering lost revenue.


4. Payroll Report

What it shows: Staff compensation breakdown for classes taught during a selected period.

Key information includes:

  • Staff member names and contact information

  • Classes taught

  • Class dates and duration

  • Pay rates

  • Total amounts owed to each instructor

  • Total payroll expenses

Helpful for: Processing payroll, tracking instructor earnings, and managing labor costs.


5. Wallet Report

What it shows: Account credit transactions for students who have store credit or wallet balances.

Key information includes:

  • Student information

  • Credits added and used

  • Current wallet balances

  • Transaction dates and notes

  • Net balance per student

Helpful for: Managing customer account credits, tracking refunds, and monitoring wallet usage.


Student Reports

6. Attendance Report

What it shows: Class attendance records showing who attended, missed, or canceled classes.

Key information includes:

  • Student names and contact information

  • Class names and instructors

  • Class dates

  • Attendance status (attended, no-show, canceled, pending)

  • Branch location

  • Attendance rates and no-show percentages

Helpful for: Tracking student engagement, identifying attendance patterns, managing no-shows, and instructor performance.


7. Inactive Students Report

What it shows: Students who haven't attended any classes recently.

Key information includes:

  • Student contact information

  • Last activity date

  • Number of days inactive

  • Active memberships (if any)

  • Inactivity duration groupings

Helpful for: Re-engagement campaigns, identifying at-risk members, and improving retention.


8. Never Active Students Report

What it shows: Students who signed up but never attended a single class.

Key information includes:

  • Student contact information

  • Signup/connection date

  • How long since they registered

  • Account age categories

Helpful for: Onboarding improvement, identifying barriers to first attendance, and conversion optimization.


9. Birthday Report

What it shows: Students with upcoming birthdays within your selected date range.

Key information includes:

  • Student names and contact information

  • Birthday dates

  • Age

  • Birthdays organized by week and month

Helpful for: Birthday promotions, personalized marketing, and building customer relationships.


Membership & Package Reports

10. New Membership Report

What it shows: All new memberships purchased during a selected period.

Key information includes:

  • Student information

  • Membership type purchased

  • Purchase date

  • Cost per billing period

  • Total revenue from new memberships

  • Membership popularity trends

Helpful for: Tracking membership growth, evaluating membership pricing, and measuring acquisition success.


11. New Package Report

What it shows: All class packages purchased during a selected period.

Key information includes:

  • Student information

  • Package type purchased

  • Purchase date

  • Package cost

  • Total revenue from packages

  • Most popular packages

Helpful for: Package performance analysis, revenue tracking, and identifying best-selling products.


12. Membership Expiration Report

What it shows: Memberships that are expiring soon.

Key information includes:

  • Student contact information

  • Membership type

  • Expiration dates

  • Days until expiration

  • Memberships expiring this week/month

Helpful for: Renewal campaigns, preventing membership lapses, and maintaining member retention.


13. Paused Membership Report

What it shows: Memberships that are currently paused or have been paused.

Key information includes:

  • Student information

  • Membership type

  • Pause start and end dates

  • Status (ongoing or completed pause)

  • Pause duration

Helpful for: Managing membership pauses, tracking temporary holds, and understanding pause patterns.


Discount & Promotions Reports

14. Discount Code Report

What it shows: Usage statistics for all discount codes.

Key information includes:

  • Discount code names

  • Number of times each code was used

  • Discount types (percentage, fixed amount)

  • Total uses across all codes

  • Most popular discount codes

Helpful for: Measuring promotion effectiveness, tracking discount code ROI, and identifying successful campaigns.


15. Intro Offer Report

What it shows: Students who purchased a specific introductory offer package and their conversion to regular customers.

Key information includes:

  • Student information

  • Intro package purchase date and cost

  • Whether they converted (made additional purchases)

  • Subsequent purchase count and amounts

  • Total revenue per customer after intro

  • Last purchase date

Helpful for: Measuring intro offer effectiveness, calculating conversion rates, and evaluating customer lifetime value from intro offers.


Inventory Reports

16. Inventory Report

What it shows: Current stock levels for all retail products and their variants.

Key information includes:

  • Product names and variants

  • SKU numbers

  • Current stock quantities

  • Total quantities

  • Restock alerts

  • Out-of-stock items

Helpful for: Inventory management, identifying products that need reordering, and preventing stockouts.


Class Reports

17. Class Popularity Report

What it shows: How full your classes are and which classes are most in demand.

Key information includes:

  • Class names

  • Number of times each class was scheduled

  • Average fill percentage (capacity vs. enrollment)

  • Average waitlist size

  • Total students enrolled across all sessions

  • Classes with the most demand

Helpful for: Schedule optimization, identifying which classes to offer more frequently, and understanding student preferences.


18. Future Class Booking Report (Class Booking Report)

What it shows: All upcoming class bookings and enrollments for a future date range.

Key information includes:

  • Student information

  • Class names and types (single, term, or recurring)

  • Class dates and times

  • Booking dates

  • Payment status

  • Enrollment status

Helpful for: Planning ahead, understanding future attendance, managing class capacity, and predicting revenue.


19. Term Students Report

What it shows: All students enrolled in classes within a specific term.

Key information includes:

  • Student contact information

  • Classes they're enrolled in for the term

  • Term details

  • Booking status

  • Payment status

  • Number of classes per student

Helpful for: Term planning, managing term enrollments, communicating with term students, and tracking term performance.


20. Term Classes Report

What it shows: Aggregated booking counts for each class type within a specific term.

Key information includes:

  • Class names

  • Total number of bookings per class

  • Term information

  • Enrollment summary by class type

Helpful for: Understanding which classes are most popular in a term, planning future terms, and optimizing class offerings.


21. Retention by Instructor Report

What it shows: How well each instructor retains students over time.

Key information includes:

  • Instructor names

  • Number of students taught

  • Studio retention percentage (students who continue with any class)

  • Instructor retention percentage (students who return to that specific instructor)

  • Retention comparison across instructors

Helpful for: Evaluating instructor performance, identifying top-performing instructors, and improving student retention strategies.


Report Features

All reports include:

  • Filtering: Search and filter by various criteria (names, dates, amounts, categories)

  • Sorting: Organize data by any column

  • Export: Download as CSV for further analysis

  • Date Ranges: Select custom time periods for most reports

  • Visual Charts: Summary statistics and visual data representations

  • Pagination: Easy navigation through large datasets

The Analytics feature in Groovio offers a centralized view of your studio’s performance and easy access to downloadable reports for more in-depth analysis.
