Using the Student View
The Student View in Groovio helps you manage and track all student details, including class bookings, payments, and personal information, directly from one place. Here’s a complete guide on how to navigate and use the student section.
Accessing the Student View
Navigate to Students: From your Groovio dashboard, go to Groovio > Manage Studio > Students.
Student Options: In the Students section, you can create new student profiles, export student information, and view each student’s full details.
Adding and Exporting Students
Create New Students: To add a new student, click the Create New Student button at the top right of the Student page. Fill out their basic information to register them in your studio’s system.
Export Student Data: The Export button on the top right allows you to download a spreadsheet with student names, emails, phone numbers, and dates of birth. This is useful for backup records or importing information into other systems.
Import Student Data: The Import button on the top right allows you to import a CSV of students. It will provide you with a template that you can fill out with your student data

If the student doesn't exist in the system, it will create an account and connect them to your studio. If they do have an account however, it will only let you know that they need to connect, but wont connect them automatically for privacy reasons.
Reviewing Individual Student Details
From the main Students list, click on any student’s name to open their profile. Here’s an overview of each section for individual student management:
Classes: View all classes the student is currently enrolled in, which helps track progress.
Staff Notes: Access staff-entered notes about the student, visible only to staff members, for internal records. Notes can only be viewed by staff with the permission to view students.
Skills: Track skills the student has worked on or achieved, useful for skill-based classes to monitor progress.
Packages: See active and past packages assigned to the student. You can edit packages, adjusting class credits or expiry dates as needed.
Membership: Review membership details, including renewal status, payment frequency, and benefits.
Questionnaire and PAR-Q: Access completed questionnaires or physical activity readiness (PAR-Q) forms, essential for understanding the student’s goals and limitations.
Children: For family memberships, view linked child profiles.
Transaction History: See a record of transactions, including payments, refunds, and purchases, to monitor financial activity.
Payment Methods: View the student’s saved payment methods in Stripe (only partial card details for security). You can also manage pending partial payments here.
Wallet Balance: Check the student’s current wallet balance. This balance can be applied to future purchases or class bookings.
Retail Purchases: View the history of retail purchases, such as merchandise or equipment.
Activity Log: Track the student’s recent activity in the app, showing engagement with your studio.
Chat: Open a chat with the student to discuss their schedule, upcoming classes, or specific needs.
