Saving contacts, use cases of contacts, exporting, importing, contact database

What are contacts?

Contact information is a key part of the information stored in each order and task. There are two types of contact information.

  • Orderer contact information: this is where you put the contact information of the company ordering and the person in charge such as the CEO, who is not at the location, in the create task form this would be under part 1.

  • Receiver contact information: this is where you put the contact information of who is at the location of the task, in the create task form this would be under part 3.


How do I save contact information?

1: Saving receiver contacts

To save receiver contact information you can check the "Create contact" box in the task creation page. Keep in mind this will only create contacts for receiver contacts.

πŸ“Œ We can also set the box to be checked by default, if you would like this please contact us through our support chat and we will set it up within minutes!

2: Manually entering contacts

Another way to create contacts is by going to the "Contact" tab

click "New Contact"

and fill out the form:

Once done filling out the form click the β€œSave” button at the bottom right corner of the screen.

Once a contact is saved you will have an option to autofill that field whenever they order again!

Well done you have now made a contact manually!

Lets learn what information can be stored within a contact.

πŸ“Œ To save an order contact tick the β€œis orderer” box.

πŸ“Œ To save a receiver contact tick the β€œis receiver” box.

πŸ“Œ When filling out the address it will only show up for the receiver contact as that is the contact connected to the waypoints.

πŸ“Œ Source refers to how the contact was made, but it can also be used to filter contacts. If it is not filled and the task was made manually it will be set as "gsmtasks", if the contact was imported it will be set as "import".

πŸ“Œ External ID is a unique code attached to a contact. If this is attached to a contact then when importing you do not need to add the contact information, just the external ID and the system will find the contact and fill the information in for you.

3: Importing contacts

How do I delete contacts?

To permanently delete or archive a contact from your database, please contact the GSMtasks support team!


How do I view all my saved contacts?

Click on the "Contacts" tab

Here you can use filters to search for specific contacts, enter new contacts or export contacts.

You can autofill your contacts by just typing out a part of the contacts name and GSMTasks will suggest available contacts.
