Creating tasks

To create a task, click on the green “New task” button on the upper right corner of your dashboard or right click on the exact location on the map, then fill out the task form and click “Create”!

Don’t forget you always need to add an address to a task!

Well done, you have made a task! Now let’s learn what information you can include in your task.


The form is set into 5 parts:

1- Order info

This is where you can put your clients information if they are not the ones at the location or if the order has multiple waypoints/locations. You can save contacts so that these values auto-fill the next time that client orders!

If you create a client account for the client they will also be able to see the tasks and make tasks for you to complete! You can learn more about client roles here:


2- Set assignee

You can assign a task to a worker whenever needed. Either choose the driver when making a task or drag and drop the task to them from the unassigned field. You can also right click on a tasks and choose "Move Tasks" and then select a driver to reassign them to. To learn more about how to assign tasks click here:

Tasks will go to the unassigned field if an assignee is not chosen.

The task will be auto-assigned if you check the “Auto assign” box! To learn more about how auto-assigning works and how to set it up click here:


3- Waypoints

Waypoints are the different addresses that an order needs to be done at. Each waypoint will form a task where the driver must go. There can be more than one waypoint in an order, for example a pick-up and drop-off waypoint. These will be linked as one order but will appear as two tasks. These are the three different types of waypoints:

  • Assignment- When there is one place a driver needs to go and do something at.

  • Pick up - When a driver needs to go to a certain location first to pick something up or set something up.

  • Drop off - When a driver need to go to a certain location second to drop something off or do something there.

The destination auto-fill is offered by Google. Make sure you choose and confirm the correct address or the destination input will be invalid.

To add more waypoints to a task, enter the information for the first waypoint and then click “Add new waypoint” at the bottom of section 3.

Each waypoint has a contact information slot where the information of the person at the location will be visible. To save the contact information here tick the “Save Contact” box on the bottom right. Once a contact is saved it can be used to auto-fill the contact information slot next time!

You can specify when the task needs to be completed using the “Complete before” and “Complete after” fields. This information will also be considered when optimizing for “Completion time”. This makes sure you have the most efficient route whilst also considering the time constraints of certain tasks.

The duration of the task is considered in the optimization and can be entered manually or set at a default time (from settings)! The formatting of the time is hh:mm:ss meaning to write 2 hours 5 mins and 30 seconds it would look like this 02:05:30.

The weight of the vehicle can be considered in an optimization if the task and vehicle are both set sizes. To learn more about how to set this up click here.


4- Describe task

This is where you can add specific information or instructions about the task, for example delivery notes such as where to put the product or which products to install. Here you can also add PDF and other file types that can be seen from the mobile app.


5- Custom fields

Custom fields can be created by you to suit and tailor the information to your needs. To learn more about how to set up custom fields click here!
