Summary
Previously, all courses assigned to a role were automatically treated as required. You could only assign optional requirements on a one-by-one basis.
This new feature adds the ability to assign not only courses that are required by the role, but also optional ones. This gives you the ability to mass-assign optional courses via the roles.
To mark a course as optional, simply head to Training > Course Register and edit the relevant course. You can also go to the Roles tab and edit the courses marked as required here.
Being able to assign optional courses via the roles saves you time and ensures consistency across your organisation.
Required courses:
Trigger expiry notifications
Affect the overall training status on the main dashboard
Affect the training status of a project personnel
Optional courses:
No notifications are sent when expiring
Don't affect the training statuses
Are marked as grey, rather than red, when expired
Who can use this feature?
🏘️ Available for all Training Register customers
👷 You must have the Roles and Courses Editor permission to change course requirements
When should I use optional course requirements?
We recommend you use the optional courses for courses that are nice to have or aspirational, but you'd be happy for the person to continue working on site without them having the course completed.
For example, the role of contract manager might require the following courses:
Asbestos Awareness
First Aid at Work
And have these courses as optional for the role:
CSCS Supervisory
Drug & Alcohol Testing
In practice, this means that all four courses will appear on the personnel profile of all contract managers, but only Asbestos Awareness and First Aid at Work will affect their training status and trigger notifications.
Even if an optional course has expired, it will not affect the training status of your personnel. Notifications will not be sent when an optional course has expired.
How do I set up optional courses for a role?
You can set this up in the Roles tab and Course Register (in the Training section).
Select Edit course, and mark for which roles this course is required, or optional.
Or select Edit role, and mark which courses are required, or optional.
On a personnel profile, you can see which courses are optional by the tag below the course title.
If there is no ‘optional’ tag, it means that the course is required.
In order to change it, navigate back to Roles or Course Register.
