Import Contacts

ℹ️ Only first_name & last_name are required – every other column is optional.

Add your Book of Business to your HealthSherpa Medicare account, with just a click.

You can import many demographic details, plus one enrollment record per person.

Here's how it works:

1. Click Import

Find this link at the top right of your Clients page or Leads page.

2. Download the template

You'll see a popup with a link to download our import template. Or download it here.

3. Fill the template

You'll see 2 rows of example contacts in the template file. Replace these with your contacts.

ℹ️ Important note:
Only first_name & last_name must be filled – every other column is optional.

De-duping

Rows where first_name and last_name and birth_date match one of your existing records will be excluded from the import.

Enrollment records

If you'd like to populate an enrollment record for a Contact, you only need to provide the enrollment_carrier_name (column X). If this column is filled, the system will automatically pull in any other filled enrollment details, from columns Y through AF. When an enrollment record imports, it appears on the Contact Profile page like this:

Field

Rules

All date fields:

birth_date

part_a_effective_date,

part_b_effective_date,

enrollment_effective_date

enrollment_submitted_at

Use this format: MM/DD/YYYY. For example: 08/02/1951. Dashes or slashes, either works.

type

This can be client or lead, and determines whether the Contact lives on your Clients or Leads page

If you don't fill this out, it defaults to client

state

Use the 2-character state abbreviation, not the full state name. For example: FL

zip

Ensure this is a valid ZIP code.

phone

This should only have 10 numeric digits. Parentheses or dashes are fine, they will be ignored. For example: (806) 302-3022, or 8063023022 are fine.

email

Use this format: daniel@aol.com

medicare_number

Ensure this is 11 characters, i.e. 1EG4TE5MK75

medicaid_eligible

extra_help

If the value (case-insensitive) is one of: true, yes, t, y → we'll populate: true

If the value (case-insensitive) is one of: false, no, f, n → we'll populate: false

status

This can only be new or enrolled, for now – we'll eventually expand this list. If you don't include a status, we default to new.

sex

This can be Male or Female or M or F

note_1, note_2, note_3

This adds to the contact's Notes table. Put whatever you like here.

enrollment_plan_id

This field is flexible, you can use the H111-111-111 format, or any variation of that.

enrollment_premium_cents

Use a cents value here. For example, if you want premium to display as $87.40, then enter 8740

plan_sub_type

This must be one of the following values, spelled just like this, otherwise it will be skipped:

HMO, HMOPOS, PPO, LPPO, RPPO, Plan A, Plan B, Plan C, Plan D, Plan F, Plan F High Deductible, Plan G, Plan G High Deductible, Plan K, Plan L, Plan N

plan_type

This must be one of the following 4 values, spelled just like this, otherwise it will be skipped:

MAPD, MA, Part D, Med Supp

4. Upload the template

Go back to the Import popup and upload your filled-out template file. Make sure it's a CSV file (Excel will let you save as CSV).

Then refresh the page to see your imported contacts!
