CRM basics
The CRM side of the product is made up of Contacts, which are either Clients or Leads. Here's where the CRM sits in the overall picture:
Adding a Contact
To get a new contact in your system, click this button from your dashboard:
Which takes you to the Add a Contact form.
👉 Only name is required, but will pre-fill into the enrollment forms, so we recommend filling out as much as you can, to save yourself time later.
Notable fields on the Add Contact form
Type: Select Lead or Client. Lead sends this contact to your Leads tab, while Client ends it to your Clients tab.
Use Clients for "people I've enrolled" and Leads for "people I have not enrolled."
If you submit an enrollment for a Lead, we'll automatically update the Type to Client.
Status: there are a few statuses to choose from now – we'll add more soon.
Eligibility information: Log information about the Contact's original Medicare details, Medicaid eligibility, and Extra help / Low Income Subsidy (LIS) eligibility.
We don't have the ability to pull in eligibility statuses yet, but will soon.
Contact Profile
Each Contact gets a Contact Profile page, collecting all of their information.
Details
The contact information you added appears at the top of the profile. Click "Edit details" any time to edit it.
Contact-associated shopping session
To enter a shopping session associated with this Contact, click the "Shop for [name]" button at the top.
Starting the shopping session from here will automatically load:
The Contact's Zip code
Any previously entered information for the Contact:
Drugs
Pharmacies
Providers
Extra Help / LIS setting
Enrollment history
Once you've submitted an Enrollment for this client, a card will appear on the Contact Profile, with details about the enrollment. If this is a carrier that offers an HRA, you'll see that here too.
The confirmation number listed here will be known to the carrier and can be used to identify the enrollment in any conversations you have with them.
Download application PDF
To download a full PDF copy of the application:
Click the "View application" link on the Enrollment card, as shown above.
This takes you back to the "Application submitted" page. (Note: going to this page does not resubmit the application, despite what the loading spinner says.)
From this page, click the "View application" link to download the PDF.
Drugs, pharmacies, and providers
From the Contact Profile page, you can view and edit the Contact's drugs, pharmacies, and providers. These sync to populate into the Contact's shopping session – and likewise, any changes made in the shopping session to drugs, pharmacies, or providers, will sync back to the Contact Profile.
This means you won't ever have to re-enter these twice, they're always saved.
Scope of appointments
Send, track and store SOAs with ease. Learn more about our SOA feature.
Notes
Add private notes to any Contact Profile. Keep track of conversations, follow-ups, or anything else you'd like.
