How to manage lists using the Boards View (CRM) feature

Create customizable boards to manage all your contacts with creators.

In the Lists section, you can navigate to the Boards view, which are dynamic tables of content that will help you manage all your contacts with influencers. It's all about simplifying the collaboration process and optimizing your influencer relationships.

By default, all new boards will be created with 3 columns: Candidates, In Progress, and Done.

You can edit the Lists's name, as well as modify the column names, add new ones, or delete them.

Customizing Your Board

You can personalize your boards by:

  • Modifying the column names.

  • Adding new columns.

  • Deleting unnecessary columns.

Creating Cards

Cards are inputs of information referring to a specific content creator and their proposal or collaboration.

How to Create Cards

  1. Add Card Button: Use the + Add Card button in each column to create a new card.

  2. Fill in Details: Select all the necessary information for each card, including the creator, collaboration content, fees, and relevant notes.

Once created, each card will display the most relevant information as a preview inside the Board. Cards can be moved freely across columns, allowing you to keep track of the status of each proposal or collaboration.

When you open a card, you'll discover:

  • A concise summary of the chosen information during its creation.

  • A media tab to upload the promotional content.

  • A preview of the conversations (if a message thread has been initiated through Heepsy).

  • Possibility of uploading files related to the collaboration (contracts or briefings).

  • A tracking tab to input links for monitoring clicks and sales (if you've integrated your Shopify e-commerce into Heepsy).

  • A glimpse of the creator's social media profiles.

How can I add creators to my Boards?

To add creators to list and boards and create new cards, you can use the search feature or using the "Add creators" button, that allows:

  • Adding creators manually

  • Adding creators from a file (using creator detection)

How can I upload media to one of my cards?

Each card has a Media tab where you can upload the promotional content from the collaboration and track its performance. There are two ways to upload the content:

1. Content Link: Add the link to the promotional publication on Instagram and TikTok and Heepsy will automatically gather data on likes, comments, shares, and views (only for video format). This can be refreshed once a day.

2. Manual Upload: Upload the content and fill in the metrics by yourself (likes, comments, views, shares).

You can edit, download, or delete the content. Additionally, you can download all your uploaded content using the media download button on the card.

Currently, the Media tab is only available for Plus and Advanced subscribers.
