In this article, we explain how to populate a vacancy portal in AssistCV. You can navigate to each section using the menu on the right.
Candidate Statuses
When you first add a candidate to a vacancy portal their profile will appear as shown in the images below. By default, candidates are added at draft stage (figure 1) so you can update their information before setting them as active (figure 2). To publish a candidate you simply hit the 'ACTIVE' button. You'll be prompted to confirm this before they're published. Once published, hit 'ACTIVE' to set them back to draft.

What each status means:
Drafted candidates will be hidden from the published vacancy portal until they are made active.
Active candidates will appear to anyone who has access to the vacancy portal when published.
Note: If you add a candidate to a published vacancy portal and mark them as active, they'll appear in real-time and will be visible to anyone who has access to it. You don't need to send a new link to your Hiring Managers each time.
The following section talks you through the candidate card and how to complete your candidate profiles. Read on for a step-by-step guide on completing a vacancy portal.
Candidate Info & Profile Picture
The candidate's name, current job title, email and location will pull through to the candidate card automatically from Bullhorn (Note: Their email address will not be visible to your Hiring Managers). You can add a profile picture by hovering over the candidate's initials, clicking the upward arrow and then choosing an image to upload.
Updating Your Candidate Profiles
By default, your applicant profile will pull through and display the information stored against your candidate's record from the 'Employment Histories', ‘Education’ and ‘References’ tabs in Bullhorn. If there's no information available in Bullhorn, instead of an 'Edit Profile' button (as shown on the image above), you'll be presented with a 'Create Profile' button. This will be marked with a red exclamation to denote that information is missing from the profile.
Whether you're creating a profile for the first time, or editing a profile that's been populated using information in Bullhorn, you have three options:
'Manually edit the candidate' - any changes you make will then sync back to the candidate's record in Bullhorn.
'Parse a CV' - this allows you to create a new profile based on the candidate's latest CV. You can then edit that profile in our editing suite. Find out more about how to format a CV here >>
'Edit Profile' - clicking here will also take you to the editor, where you can make changes to a previously parsed CV/template. Again, find more on that here >>
Displaying The Candidate's Original CV
If you want to show the candidate's original CV to your Hiring Managers, go to the settings tab in the left-hand menu. Within the applicant display section, you’ll see you have the option to toggle between 'RECORD' and 'DOCUMENT'. If you toggle to document you'll be able to upload a file in the applicant profile section and that what will show to your Hiring Managers.
Missing Information Notice
Until their profile has been fully populated, a red exclamation will appear on the 'Edit Profile' button to indicate that there's information missing. You'll receive a prompt to highlight that information is missing if you try to mark a candidate with an incomplete profile as 'Active'.
File Attachments
You can attach additional files to your candidate by clicking the file attachment button, as shown below. All the files stored against the candidate's record in Bullhorn will be available for you to choose from. In the example below, there are eight files available.
Simply select the file(s) you want to attach and click 'SAVE'.
Note you can attach up to 15 files.
