Settings within Hyperproof

Learn about the settings area in Hyperproof and how to adjust them to fit your organization's needs.

Note: The information below is shown for an administrator role. If you have another role in Hyperproof, like compliance manager, user, or limited access user, your access may be limited due to your organizational role and object-level permissions. We recommend viewing the organization roles and permissions article and object roles article to learn more about permissions.

Along with permissions, your organization may not have purchased some features in Hyperproof, so you may not see all of the items within settings.

Within Hyperproof, you can adjust settings to fit your organization's needs. The Settings area is essential for configuring and optimizing your compliance management environment. To access Hyperproof Settings, select Settings from the left navigation menu. Settings options in Hyperproof are different for administrators, compliance managers, and users. Administrators have access to all available options, whereas compliance managers and users have limited access.

In this video, we review the Settings area in Hyperproof and discuss how to make adjustments for your organization.

Basic settings

Settings options in Hyperproof differ for administrators, compliance managers, and users.

Below are basic settings that most roles see:

  • General: Administrators can update the organization’s photo and name, view the account type, and find the organization’s creation date. As a compliance manager, you can view the information, but cannot edit it.

  • People: Administrators can add, view, assign roles, and remove organization members. They can also reactivate former organization members. As a compliance manager, you can view the information, but cannot edit it.

  • Notifications: Configure your Hyperproof notification options, including @mentions, assigned tasks, status updates, and integration notification preferences.

  • Health: Administrators can update the organization’s health rules at any time. As a compliance manager, you can view the information, but cannot edit it.

  • Connected accounts: Administrators can view and manage all connected service apps. They can also view Hypersync and integration connection statuses and fix them if broken. As a compliance manager, you can view and manage connected service apps that administrators configured. You can also update connection credentials or disconnect a connection, view Hypersync connection statuses, and fix them if they are broken. You can also view information on shared accounts where you've been added.

Creating a custom field

  1. From the left menu, select Settings.

  2. Select custom fields.

  3. Click New.

  4. Below Select field type, select the type of field you want to add.

  5. Below Field name, enter a name for the custom field.

  6. Below Available on, select the checkbox next to the object to which the custom field applies. You can select more than one object.

  7. Optionally, select the Controls checkbox to configure the custom field for scope assignments. From the Scope Assignment Behavior drop-down menu, select how the scope assignment should be managed:

    • Managed by the parent control - Follows the current behavior of custom fields. The field is read-only to scope assignment members.

    • Independent - This feature behaves like Hyperproof's Notes feature. Each child control has an editable value, and the parent control also has an editable value.

  8. Below Field symbol, select a symbol to denote the custom field.

  9. Below Required field?, select whether the custom field is required or not required.

  10. Below Values, enter the number of options (values) to choose from.

  11. Below Format, select decimal or percentage.

  12. Click Create.

Notifications

Each member of your organization can customize their notification preferences as they like.

By default, Hyperproof notifies users via email at any time:

  • They are @mentioned in the Activity Feed.

  • They have a task assigned to them.

  • There is a status update for an item or object where they are a member.

Users can also choose to receive notifications via Slack or MS Teams if their organization uses either platform.

Bulk editing notifications

If you bulk edit a group of controls, for example, users who are managers or contributors to the control will only be notified once.

For example, if Bree is a manager of 10 controls and Myles, an administrator, bulk edits those 10 controls, Bree will only receive one email and/or one Slack/MS Teams notification stating that 10 of her controls have been changed.

Freshness expiration notifications

Each member of the control or label that is set to expire receives an email notification alerting them of the upcoming expiration date.

Customizing notifications

Hyperproof users can customize which notifications they receive and where to be notified. Note that if a notification is important, Hyperproof may send it to a user without regard to the selected preferences.

If a user clears the checkbox for email, they receive notifications via Slack or Microsoft Teams. If your organization does not use the Slack or Microsoft Teams integrations, users receive notifications via email and can't clear the checkbox.

To access notifications:

  1. From the left menu, select Settings.

  2. Select Notifications.

  3. Edit your preferences by selecting or clearing the checkboxes.

Groups

Administrators and compliance managers can create and manage groups of individual users that have similar responsibilities in Hyperproof. Once a group is created, it can be easily added to any Hyperproof object via its facepile.

Organizations with many objects and/or work items, e.g., controls or risks, may find it easier to manage object membership with groups. By using groups, administrators and compliance managers can easily add a large set of users to an object or work item quickly and repeatedly. Rather than individually add team members to objects and/or work items, administrators and compliance managers can add the team members to groups and then assign those groups to the object and/or work item.

The groups feature is especially helpful when new members join your team. Instead of searching for each object and/or work item and adding each member individually, they can be added to the group, automatically assigning them to the object and/or work item.

An example might be creating a group called 'Legal team' and then adding that group to all relevant objects and/or work items. When a new member is added to the 'Legal team' group, they automatically have access to all relevant objects and/or work items.

Only administrators and compliance managers can create groups in a Hyperproof organization. There’s no limit to the number of users that can be added to a group, nor to the number of groups a user can belong to.

In the Settings > People, you can create groups for your Hyperproof organization. Groups allow you to assign a group to an object and set a specific group lead. This is a great organizational tool for organizations with large departments.

Creating a group

  1. From the left menu, select Settings.

  2. Select People.

  3. Select the Groups tab.

  4. Click New.
    The create group window opens.

  5. In the Name field, enter a name for the group.

  6. Optionally, select a user to be the group lead from the Group Lead drop-down menu.

  7. Click Save.

    The group is created.

Tip: The groups grid can be resized and reordered.

To resize, hover over the end of the column header you want to resize. When the Resize arrow icon appears, drag it in the direction you want to resize the column.

To reorder, hover over the column header you want to reorder, then click the header name.

Setting up a group lead

The group lead is the main point of contact for a particular group. After adding a group to Hyperproof, you can assign a group lead. Only administrators and compliance managers can set a group lead.

Setting a group lead is optional. Groups can exist without a designated lead. Contacts cannot be group leads.

  1. From the left menu, select Settings.

  2. Select the People tab.

  3. Select the Groups tab.

  4. Locate the group you want to edit, then click Edit.

    The Edit group window opens.

  5. Locate the user you want to make the group lead, then click the arrow next to their name.

  6. Select Set as group lead.

    The group lead is now set.

If a group lead is deactivated, the group can either be assigned a new lead or function without one.

If a group member is deactivated and they are the individual assignee, the group lead becomes the individual assignee. If there is no group lead, the individual who deactivated the user chooses the assignee.

Adding a group to an object

Prerequisite: A group that has already been created.

The following roles can add a group to an object:

  • Administrators

  • Compliance managers with manager permissions on the object

  • Users with manager permissions on the object

  1. From the left menu, select the tab that corresponds to the object where you want to add the group.
    For example, if you want to add the group to a control, select the Controls tab.

  2. Select the specific object.
    For example, if you want to add the user to control ID 1234, select that control.

  3. Click the + icon in the upper-right corner of the facepile.

    The Member access window opens.

  4. Below Add new, select the Groups radio button.

  5. From the Name drop-down menu, select the group you want to add.

  6. From the Role drop-down menu, select the group's role.

    1. Manager - Can manage and share content, and manage object members and settings.

    2. Contributor - Can share, add, and remove files from objects where they are a member.

    3. Viewer - Can view information about objects where they are a member or have inherited access.

  7. Optionally, below Message, include a brief message.

  8. Click Add.

    The group is added to the object.

Notes: The number of users who can be added to a group and the number of groups a user can belong to are unlimited.

You can add multiple groups if they have the same object-level role.

If you are a contributor on an object, for example, but are in a group with manager-level permissions, and that group is added to the object, you will have manager permissions for the object. The higher permission always prevails.

When a group is assigned to a control or request, a notification is sent to all group members, notifying them about the new work. By default, the group lead is listed as the individual owner/assignee. Group members can designate themselves or a teammate as the owner/assignee.

The following roles can assign a group to an object:

  • Administrators

  • Compliance managers with manager permissions on the object

  • Users with manager permissions on the object

Assigning a group to a control

  1. From the left menu, select Controls.

  2. Select the control to which you want to assign the group.

  3. From the Details tab, expand Control owner.

  4. From the Assign by drop-down menu, select Group.

  5. From the Group drop-down menu, select the group name.

If the group has a lead, the group lead's name populates in the Owner drop-down menu. If the group does not have a lead, you can select a group member from the list as the designated owner.

The control is now assigned to the group.

Assigning a group to a request

  1. From the left menu, select Audits or Assessments.

  2. Select your audit or assessment.

  3. Select the Requests tab.

  4. Select the request to which you want to assign the group.

  5. In the right pane, expand Assign by.

  6. From the Assign by drop-down menu, select Group.

  7. From the Group drop-down menu, select the group name.

If the group has a lead, the group lead's name populates in the Assignee drop-down menu. If the group does not have a lead, you can select a group member from the list as the designated assignee.

The request is now assigned to the group.
