To create a new event, go to  AI Scheduler → Events and click on "Create New Event"

- If your role is Super Admin/Sales Manager, you will be able to create events with multiple hosts 
- If your role is Closer/Setter, you will be able to create event with yourself as a host only

Required step #1 - Event Details
This is the first step where you will define basic details about your event.
- Event Name and tag color 
 This is the name of the event that your invitees will see on the booking page.
 
 The color tag of the event is for internal use only to differentiate between events visually on the events page, Global Data or Global Data or Analytics page. Analytics page.
 
- Event Location 
 You can select where the event will take place, between these three options:- Phone call 
- Google Meet 
- Zoom 
 
 
- Event Description/Instructions 
 This is the additional description that your invitees will see on the booking page.
 
- Event URL 
 This is the URL that you will share with your invitees or embed on your web page.
 
- Internal description about the event 
 This is an internal note that you can add to your event and will be shown on the event card.

Required step #2 - Hosts
The second step for creating an event is to select the hosts of the event and set their priority. You can invite users and add them as host right away. 
To make your event live, you need to select at least one host who has set their availability.
Here's detailed breakdown of hosts warning badges in the hosts table:
- Calendar not connected 
 The host has not connected any Google calendar yet.
 They will still be able to get new calls but they we won't add them to any calendar and in case of Google Meet as the location, we will not be able to add Google Meet link.
 
- Availability not set 
 The host has not set their availability.
 They will not be able to get any new calls until they set their availability.
 
- Pending invitation 
 The host has not accepted the invite.
 They will not be able to get any calls until they accept invitation and set their availability.

These two wrap up required steps for creating an event. All additional options below are not mandatory, but definitely advisable for setting up your event to the tiniest detail.
Event Time & Limits
Please note that the Event Time & Limits options will effect your available slots on your scheduler. Please go through every option below:
Date range
The date range from the current date for which invitees can schedule a call.
- Defining specific number of days for the scheduler to be open: - Calendar days - add number of upcoming days that your leads will be able to book a call within from the time they visit the scheduler 
- Business days - work days only, overriding weekends no matter if you have the availability set or not 
- With additional checkbox option to Auto-Extend available days - if there are no available slots for any of the days within the date range set, scheduler will auto extend days available 
 
- you can select option "Indefinitely into the future" which allows leads to schedule a call at any date in the future 
Duration
Refers to the duration of your meeting. 
A slot of set duration will be marked as busy on host's calendar or availability whenever a new call is booked.
Start time increments
These are the time slots that will show on your scheduler.
For example, If you want to show available time slots on your scheduler with increments of 15 mins, e.g. 9:00, 9:15, 9:30 etc, set the start time increment as 15 minutes.
Break buffers
This option will include additional times blocked before and after every call booked,
For example, if you got a new call from 9:00 - 9:30, and you set a buffer of 15 mins after the call, a buffer from 9:30-9:45 will be added to your availability, which means you will not be able to get any call on 9:30.
Scheduling limitations
Restrict the time limit for leads to schedule a call with your team.
For example, if you do not want to get new calls 24 hours before the current time, set the guest cannot schedule within range of 24 hour(s). First available slots for leads will be available 24 hours from the time they've visited scheduler.
Allowing hosts to reschedule event
Turn this option ON if you want to allow your hosts to reschedule a scheduled event.

Invitee Questions
iClosed 2-step scheduler consists out of set of primary and secondary questions.
Primary questions
Are phone number or email and name, that can be broken down into two boxes, first and last name.
Only once leads answer the primary questions, all your secondary questions will appear on the form.
When a lead enters phone number (or email depending of your preference), iClosed will grab such contact and add him to  Global Data, with the status "Potential".

This setup ensures there is no lead left behind in case they fill out phone number (or email) only, and drop off, or get distracted.
Secondary Invitee Questions:
You can add up to 10 secondary questions to your form with the following types:
- Short text 
- Long text 
- Checkbox (Multi Select) 
- Radio button (Single Select) 
- Date and Time 
- Number 
We will save all your secondary questions as Invitee questions in  Tracking, so that you can use them across your events and track the answers in

Disqualification
You can disqualify a lead based on the answer on your scheduler, with following types of questions:
- Phone number country code 
- Multi (checkbox format) or single select type of questions (radio button) 
Disqualification feature has routing to different external pages depending of the conditions set.
All you need to do is to Turn the toggle button on for redirecting disqualified contacts to an external URL per selected condition.
 Startup Plan users will have only Phone number option for lead disqualification, while Business and Enterprise plan users can use all options (learn more about iClosed pricing and feature breakdown).

Conditional routing
With conditional routing you can assign leads to specific host based on the invitee answer.
 Conditional routing is only available with Business and Enterprise subscription plans

Conditional routing can only be applied if:
- In Hosts: There are minimum two Hosts selected for the event 
 
- In Event Time & Limits: The Event Duration is 14 days or less 
 
- In Invitee Questions: A radio button (single select) or a checkbox (multi select) type of question has been added to your invitee questions

Reply-to address
You can select which email address to use for email communication:
- Host email: The connected host email address from calendar connection will be used as email sender - from Gmail set in Calendar Connections 
- In addition to that, Confirmation email will use your Gmail to send RSVP event confirmation (Yes/No/Maybe) automatically to your leads 
 
 
- iClosed no-reply email: Invitees will receive emails from no-reply@iclosed.io 
Confirmation page
Upon successful form submission, and scheduling a call, you can redirect users to:
- iClosed default confirmation page 
- Any other external URL per your preference 
If you select option to "Redirect to an external URL", you will be able to embed call confirmation information by copying an embed booking confirmation code and placing it on your page.
Customizations
This is where you can customize the scheduling page to match your branding and appearance. Here're available options:
Theme
- Preview of all scheduling pages - Booking page - Step 1 or 2, Time selection page, Thank you page 
 
- Switch between device type appearance - web or mobile 
 
- Choose between light or dark theme 
 
- Choose branding colors between solid or gradient or select gradient presets
