Global Data - getting started guide

Introduction to the Global Data, what is it and how to utilize it's potential

Global Data is your central intelligence hub, where you'll be able to see every contact that ever interacted with your scheduler.

It's the main leads dashboard, and a place where you can track and manage leads progress through your funnel. Check out quick intro video.


Global Data - Core Elements

Scheduling Statuses

Leads are tagged with a colored badge that is representing the status of the stage they are in, such as:

  • Potential - When the prospect enters a phone number or email only but doesn’t finish the form.

  • Qualified - Prospects who have filled out the whole form, but for some reason didn't book a call.

  • Disqualified - Contacts who filled out the form, but hit your disqualification criteria set in event setup.

  • Discovery call - Leads that scheduled a Discovery event.

  • Strategy call - Status referring as Strategy call booked, basically a sales call.


Contact creation date filters

Use date filter on the Contacts section to filter out leads based on their creation date.


Columns

Global Data menu gives you full control over data you'd like to see and how you want to see it. You can add or remove columns such as, Event Source, Call Duration, or Closer name, depending of what you'd like to see on your screen.

Wanna hear about the best part? The columns are flexible, and will adjust automatically based on the section you are on, whether that's:

  • Contacts - main screen with standard information about the leads.

  • Appointment Setting - Additional menu for the setters, where they will manage all leads that are in "potential", 'qualified" and "disqualified" status.

  • Data Intelligence -Enriches your data with real-time financial insights and contact validation to help you qualify leads and avoid invalid data.

  • Calls - view for all leads that have scheduled at least one call.

  • Deals - all information about the deals you've added to "Sale" outcomes.

  • -> My Favorites - quick access to your most frequently used Smart Views marked as favorites.

  • Scheduling Status - filters showing contacts by their scheduling stage.

  • Contact Stages - customizable pipeline stages that function as dynamic filters for managing your sales funnel.

  • Smart Views - saved custom filter combinations organized in folders for quick access to contact segments.

Therefore, if you're looking at any of the four sections from above, the columns update and adjust to show what matters for that specific tab you're on the most, making it easy to keep an eye on the key information that will help you drive your decisions.

-> To help you focus on the metrics that matter most to your workflow, you can now highlight your priority columns with custom colors.

Simply access the column options menu and select a highlight color for any column you want to stand out.
This is particularly useful when you're tracking specific KPIs or need to quickly identify key information across hundreds of contacts.

Global Data sections - detailed overview

Now that you are familiar with the basics of the Global Data menu, let's dive in deeper into it's sections.

Contacts view

This is the default view of the Global Data dashboard, where every single contact will show up in the "Contacts" tab.

-> When one or more contacts are selected in Global Data, a bulk action bar appears. From here, users can assign a Setter Owner or update the Contact Stage for multiple contacts at once. This enables fast pipeline cleanup, mass reassignments, and stage corrections without opening individual contact records. <-

Contact card

Contact cards are basically files of the leads. To view more information about every lead (contact), click on their email or phone number in any of the Global Data sections to open contact card will open.

You'll be able to see all the important information about the contact selected, from when they first interacted with your scheduler, their current lead status, with whom they've booked a call, and most importantly, the call outcome.

And that's not all, you will be able to change owners for the specific lead, add new deals, and even add additional notes for storing important information about the lead.

-> Contact Stages

Contact stages provide a powerful way to visualize and manage your leads' journey through your sales funnel. Located in the left sidebar, contact stages function as dynamic Smart Views that automatically segment your contacts based on their current position in your pipeline.

Clicking the gear icon on the sidebar next to Contact Stages opens the stage management panel.

Each contact is assigned to a single stage at a time, which represents their current position in your workflow. Stages are grouped by status (Active, Won, Lost) and are directly editable from the Contacts table, making it easy to move contacts forward or backward as things evolve.


These Contact stages help you standardize reporting while also allowing you to add custom stages inside each group, depending on your lead journey.

  • Active stages help you track contacts that are still in progress (new lead, approved, contacted, follow-ups scheduled).

  • Won stages reflect contacts that have successfully converted (customer, onboarded, premium client).

  • Lost stages group contacts that did not convert, with clear reasons (ghosting, rejected, budget issue, not a fit).


Actions Based on Contact Stages

One of the most valuable features of contact stages is the automated call booking popup.

Stages can be set as the default entry stage, deleted, or enhanced with automated actions, such as “Schedule a call”, which automatically triggers a pop-up to book a call when a lead reaches a specific stage.

When you move a contact from certain stages (like Potential or Qualified) to a call-booked stage, iClosed automatically prompts you to schedule the appointment right then and there.

This ensures no lead falls through the cracks and maintains momentum in your follow-up process, as the booking action is triggered immediately when the stage transition occurs.


Bulk Stage Updates

Managing multiple contacts simultaneously is now effortless with bulk stage updates. Simply select multiple contacts using the checkboxes in the table, then use the bulk actions menu to move all selected contacts to a new stage in one action.

Contact Stages can also be updated inline from the Global Data table. Clicking the Contact Stage column opens a dropdown where users can move a contact to another stage instantly. If the selected stage has an associated action (such as scheduling a call), that action will trigger immediately upon selection.

This is particularly useful for appointment setters who need to quickly process large numbers of leads, or when you need to update contact statuses after reviewing call outcomes or conducting outreach campaigns.


Data Intelligence

Data Intelligence extends Global Data with two key enrichment layers: Credit Checks and Validations.

Credit Checks

Credit Checks provide high-level financial insights such as credit score ranges, debt-to-income ratio and prequalification status. This helps your team verify if a lead is financially qualified before engaging.

Validations

iClosed now includes built-in email and phone validation to help you maintain data quality, improve deliverability and focus your outreach efforts on legitimate contacts.

The system can automatically validate contact information entered through your scheduler forms, marking each email and phone number with a clear "Valid" or "Invalid" badge in the respective columns.

Phone and email validation happens in real-time as contacts flow into your
Global Data, allowing you to quickly identify which leads have provided accurate contact information and which may need follow-up or additional verification.

The validation feature operates on an in-app token system, where each validation check consumes tokens from your account balance.

You can easily filter your contact list by validation status to prioritize outreach to verified contacts, exclude invalid entries from your campaigns, or identify patterns in data quality across different lead sources.

This is particularly valuable for appointment setters and sales teams who need to maximize their time by focusing on contacts they can actually reach, rather than wasting effort on bounced emails or false phone numbers.


Appointment setting view

This view is built to help you take advantage of all the contacts captured by the scheduler. Here, you'll find only the contacts who engaged with your scheduler, but didn't book a meeting, in following statuses:

  • Potential

  • Disqualified

  • Qualified.

This view helps your appointment setter quickly see newly captured contacts, get in touch with them and potentially turn them into appointments (qualified leads) within a few clicks, like displayed below.


Calls view

This view shows all calls booked in all of your schedulers. In case you notice more rows here than in the Contacts tab, that’s completely normal. Each call is listed as its own row, while in the Contacts tab, each and every contact is shown only once, even if they’ve booked multiple calls.

Calls tab will show all leads who have booked a call, with the ability to track outcomes and lead data based on call details.

As presented above, the Calls view allows you to pull in valuable columns with data, such as Call outcome, the reason for "No Sale", and even Objections, along with the prospect's answers. This way, you will be able to identify patterns between lead quality, call outcomes, and sales representative performances.

For keeping your data consistent, clean and up to date in your Calls view, it is important for your team to add call outcomes after each and every call.

Deals view

This is a place where you can track all deals attached to to your leads. Each tab comes with its own set of customizable columns, that are important for tracking conversion, product/services sold and deal values.

And that's not all. Deals section has additional menu - Transactions.

Transactions is a mini-menu that shows all picked up payments from your payment processor (if connected with iClosed. Learn more about Transactions here).

Filters, Smart Views, and Exporting of data

Filters

Use the Filters option to segment leads based on specific criteria.

Additionally, you can also save these filtered views as Smart Views for quick access in the future, without the need to reset filters every time.

After you apply filters, feel free to utilize the Export button for pulling out lead data whenever you need it.

To make filtering even more efficient, you can now pin up to 15 of your most frequently used filters directly to the filters sidebar.

Instead of searching through dozens of available filters every time you need to segment your data, your pinned filters remain readily accessible at the top of the filter panel.

Simply click the pin icon next to any filter to add it to your quick access list.

This feature is especially valuable for teams that regularly work with specific data segments, so they can filter by lead source, date range, appointment setter, or custom form field.

This allows you to apply complex filter combinations with just a few clicks rather than navigating through multiple menus. <-

Smart Views

Smart Views are here to help you create saved filters for quick access to specific lead data, without the need to keep setting your filters over and over again, which will help you to save time and improve efficiency when navigating Global Data.

You can keep Smart Views as private or to share them with your team, depending of your preference.

Global Data includes Smart Views, allowing users to save any filter configuration as a reusable view. Once created, a Smart View updates dynamically as contact data changes, ensuring teams always work with real-time results without reapplying filters.

This is especially useful for frequently accessed segments such as “New Leads Today,” “Qualified – No Call Booked,” or “Follow-up Scheduled.”

Smart Views can be organized into Folders, making it easier to structure views by team, use case, or workflow. Folders support creation, updates, and deletion, helping keep the sidebar clean even as the number of saved views grows.
This is particularly helpful for larger teams managing multiple pipelines or campaigns.

Permissions can also be applied to Smart Views and Folders, allowing admins to control which views are shared across the organization and which remain private. This ensures consistency for core workflows while still allowing flexibility for individual users. <-

Exporting data

Export feature allows you to extract all four sections in one .xlsx file easily:

  • Display all the desired columns first, since the exported file will show columns and data as presented in your view

  • Click on the "Export" button, and wait a few seconds until your export file is ready to download

  • Download previous exports in the history tab at anytime

Exported file will be in .xlsx format, since it extracts all four sections broken down into excel sheets inside the file.
