Instrument/Station Audit

The Instrument/Station Audit feature focuses on the status, revision history, and categorization of instruments or stations. It helps you identify potential inconsistencies or track changes made to specific instrument configurations.

To access the function:

  1. Navigate to Report Page.

  2. Navigate to the Toolbox: In the Report page, locate the Toolbox button (usually on the top right side of the screen).

  3. Select Instrument/Station Audit. The Instrument/Station Audit Page will appear.


1. Configuration Fields

Within the Instrument/Station Audit window, you will see the following fields and options:

  1. Instrument/Station-Group

    • Select a specific group or leave blank to include all instruments/stations.

  2. Instrument

    • Narrow down to a single instrument if needed, or leave blank to include all.

  3. Category

    • Choose a category (e.g., robotic total stations, inclinometers, weather stations) to audit.

  4. Instrument Type

    • Further refine the audit to a specific instrument type (e.g., Leica, Trimble, etc.).

  5. On Hold / In Quarantine / Disqualified / Admin Only

    • Check these boxes to filter instruments based on their current status.

  6. Options/Conditions Included

    • INSTRU/STAT ENTIA Data EMPTY: Flags instruments or stations that have missing ENTIA data.

    • INSTRU/STAT without Category: Shows records lacking a category assignment.

    • INSTRU/STAT INIT Fields: Identify instruments/stations missing initial field values or in alarm states.

    • INSTRU Revision Index and respective Date-Time are not in sequence order (Zero base): Checks if revision numbers or timestamps are out of order.

    • INSTRU have duplicated Revision Property records: Highlights duplicated revision properties that could indicate data-entry or system errors.

    • INSTRU REV Fields: Allows you to filter by specific revision fields (e.g., calibration, instrument name changes).

    • INSTRU with CAL1 e.g. INC W, INC B: Focus on instruments with certain calibration fields.

    • INSTRU/STAT INIT, which is On Hold / In Quarantine / Disqualified / Admin Only: Cross-reference initial states with these statuses.


2. Generating and Exporting Reports

  1. Set Your Filters: Adjust the instrument group, category, status, and condition checkboxes as needed.

  2. Click Export: Once your criteria are set, click Export to produce the report.

  3. Review Output: The system may display the results on screen or prompt you to download the file.


3. Common Use Cases

  • Instrument Revision Tracking: Ensure revision indices are sequential and no duplicates exist.

  • Data Completeness: Identify instruments with missing essential data (e.g., no assigned category or incomplete fields).

  • Quality Assurance: Verify that instruments in quarantine or on hold are not being inadvertently used in active surveys.


4. Viewing Audit Reports in the Main Interface

You may also access previously generated audit reports or quickly preview them in the main interface:

  1. Report Files VIEW:

    • In the project’s left-hand navigation, select Report Files VIEW (as indicated by the arrow in the provided screenshots).

    • A list of recent and historical reports (e.g., CSV, PDF) will appear.

    • You can sort by File Size, Updated By, Date, etc.

  2. Auto-Report VIEW:

    • For automated or scheduled reports, check the Auto-Report VIEW section.

    • Here, you can confirm if your audits are scheduled to run at specific intervals.


5. Tips and Best Practices

  • Use Clear Naming Conventions: When exporting or saving audit reports, include the date range or key filter criteria in the file name to make it easier to locate later.

  • Combine Filters: Narrow down audits by combining multiple conditions (e.g., “Disqualified instruments in the last 24 hours”).

  • Check Alarms Frequently: Alarms indicate potential issues. Including them in your audits helps you respond quickly to on-site or system problems.

  • Review Revision History: Keep track of changes to instrument configurations or statuses. This history can be crucial for troubleshooting data inconsistencies.


6. Troubleshooting & FAQs

  1. No Data Returned in the Export

    • Verify your filters (time ranges, instrument statuses, categories) to ensure you are including the correct data scope.

  2. Report Not Downloading

    • Check your browser’s pop-up or download settings. Ensure the system’s file export feature is not blocked by security software.

  3. Missing Instruments

    • Make sure the correct Instrument/Station-Group and Category are selected.

    • Confirm that the instrument is not deactivated or deleted in the system.

  4. Slow Export Performance

    • Large datasets or wide date ranges can slow down exports. Narrow your date range or apply more specific filters to reduce data volume.
