Files Tab

The Files tab stores documents related to the client, organised into three folders. New folders cannot be created — all files must be uploaded into one of the existing folders.

General Documents

This folder holds standard documents like service agreements, consent forms, and correspondence. When uploading, you can set:

  • Title: A name for the document

  • Signed Date: When the document was signed

  • Valid From / To: The period the document is valid

  • Visible to Mobile App: Whether staff can see this document in the mobile app when viewing shift details

Assessment Documents

This folder holds clinical assessments and evaluations. These have additional fields:

  • Assessment Type: Home, Risk, Mobility, Falls, Clinical, or General

  • Assessment Date: When the assessment was conducted

  • Valid From / To: The validity period

Secure Documents

This folder holds restricted documents that only certain users can access. This folder has a lock icon. To manage who can access the folder:

  1. Click the three-dot menu on the Secure Documents folder card

  2. Select "Folder Access"

  3. Search for users and check the box next to their name to grant access

  4. Click "Save" to apply the changes

Documents in this folder are never visible to carers in the mobile app.

Document Actions

For each document, you can:

  • View: Open the document in a new browser tab

  • Download: Save the file to your computer

  • Edit: Change the document title, dates, or visibility settings

  • Delete: Remove the document (you will be asked to confirm)

Uploading a File

Click on a folder to open it, then upload a file. Only PDF files are accepted.

Managing Files

Once uploaded, files can be viewed, downloaded, edited, and deleted from within their folder.
