Accessing Archived Users
Navigate to Settings from the main menu
Select Archived from the left sidebar
Understanding the Archived Users List
The archived users table displays the following information for each user:
Column | Description |
Name | The staff member's full name |
The staff member's email address | |
Code | The employee code assigned to the staff member |
Date Archived | When the user was archived |
Archived By | The name of the person who archived the user |
Actions | Button to restore the user |
Searching Archived Users
Use the search bar in the top right corner to quickly find archived users. You can search by:
Name
Email address
Employee ID
Employee code
The name of the person who archived them
Sorting the List
Click on any sortable column header to sort the list:
Click once to sort in ascending order
Click again to sort in descending order
By default, the list is sorted by Date Archived in descending order (most recently archived first).
Restoring an Archived User
To restore an archived user back to active status:
Find the user you want to restore in the list
Click the Restore button in the Actions column
A confirmation dialog will appear
Click Restore to confirm
Once restored:
The user will be removed from the archived list
They will reappear in your active staff list
Their previous data and settings will be preserved
Why Archive Instead of Delete?
Archiving users instead of permanently deleting them offers several benefits:
Data preservation β All historical records, timesheets, and assignments remain intact
Audit trail β You can see who archived the user and when
Easy recovery β Restore users quickly if they return to your organisation
Compliance β Maintain records for regulatory requirements
Tips
Use archiving for staff who have left but may return (e.g., seasonal workers, contractors)
The archived user count is displayed next to the section title for quick reference
Archived users do not count towards your active user limits
