Approving a Timesheet Entry

Approving a timesheet entry is a way to confirm a specific shift entry is accepted for the timesheet (for example, when you’ve reviewed it and you’re happy it should be included).

To approve an entry, open the relevant timesheet (Scheduling → Timesheets → select the timesheet). You’ll see a table of employees with a quick summary of their hours by day. Click an employee row to expand it and view the detailed list of shift entries for that person.

Each entry shows:

  • the start and end date/time

  • the total hours for that entry

  • whether it’s a Client shift or a Site shift (and the name)

  • a clocking indicator (for example “Clocked In” or “Not Clocked In”)

  • an “Approved” status badge once approved

To approve:

  1. Expand the employee row to show their shift entries.

  2. Find the entry you want to approve.

  3. Open the entry actions menu (the small menu on the right of the entry).

  4. Select Approve Shift.

  5. Confirm the approval in the prompt.

After approval, the entry will show an Approved badge so it’s clear it has been reviewed/accepted.

A few important notes about approval:

  • Approval is best used after you’ve checked the entry details (times, client/site, and any clocking status).

  • If the employee’s timesheet is locked, you won’t be able to approve entries until it’s unlocked.

  • Approval is not a replacement for locking. Think of approval as “this entry is ok”, and locking as “this employee’s timesheet is final and cannot be changed”.

If you’re running payroll checks, a common workflow is:

  • review entries, fix obvious errors

  • approve exceptions that are acceptable

  • lock the employee’s timesheet

  • export when the full timesheet is ready
