Creating a Timesheet

Timesheets are where you review and finalise staff hours for a pay period. In Imploy, a timesheet is created for a specific Business and date range, and then broken down by employee so you can quickly see who worked, what was worked.

To create one, go to Scheduling → Timesheets. This page shows all existing timesheets in a table, including the business, the schedule dates, how many staff are included, total hours, and when it was created. You can search and sort this list to quickly find the pay period you need.

Click Create Timesheet to open the create panel.

You’ll choose two things first:

Business
This controls which business/location the timesheet is created for. If you operate multiple businesses, this is the key selection that keeps payroll periods separate and clean.

Schedule (Weekly or Fortnightly)
This controls how long the pay period is. When you choose a schedule, Imploy automatically proposes a matching date range.

Once a schedule is selected, you’ll see a Date Range section. The system defaults the range to the current period (starting on Monday). You can then use the left/right arrows to step backwards or forwards through pay periods until you’re on the correct one.

A few practical tips when choosing the period:

  • If you’re creating it early, step forward to the upcoming pay period so it’s ready as shifts are completed.

  • If you’re reconciling payroll, step back to the period you’re finalising so nothing is missed.

  • Weekly periods cover one week; fortnightly periods cover two weeks as one combined timesheet.

When you’re happy with Business, Schedule, and Date Range, click Create Timesheet. Imploy will create it and take you straight into the timesheet details screen, where you can review each employee’s entries, make adjustments, approve exceptions, and lock/export when ready.

Important operational note: once shifts are pulled into a timesheet workflow, they become part of your payroll trail. If a roster shift is attached to a timesheet, you may not be able to delete that shift from the roster until it’s removed from the timesheet entry first.
