Editing a Timesheet Entry

Editing a timesheet entry lets you correct the details of a shift entry inside the timesheet- most commonly start/end times (which then updates the calculated hours).

To edit an entry:

  1. Open the timesheet.

  2. Click an employee row to expand and view their entries.

  3. On the entry you want to change, open the actions menu.

  4. Select Edit.

  5. Make your changes and save.

When editing, Imploy opens a slide-out panel where you can adjust timing details. You’ll typically be able to update:

  • Start date and time

  • End date and time

  • Total hours (calculated automatically based on your times)

If the entry is linked to a specific client or site, that field is treated as part of the entry identity and is generally not something you change during an edit. The goal is to correct the time worked, not to “move” the work to another client/site.

Before you edit, check whether the employee’s timesheet is locked:

  • If the employee row is locked, the entry actions won’t be available.

  • Unlocking requires a reason (and your password), which keeps a clear audit trail of why the timesheet was reopened.

A key workflow note (especially for scheduling teams): if the shift you’re editing is also present on the roster, changing a timesheet entry is a payroll correction - it doesn’t automatically mean the roster has been fixed too. If the roster shift itself needs correction (for compliance, client communication, or scheduling accuracy), update the roster shift as well.

Also keep in mind the roster protection rule: if a roster shift is attached to a timesheet, that roster shift may not be deletable until it’s removed from the timesheet. If your goal is to remove the shift entirely, you’ll usually remove it from the timesheet first (or delete the timesheet entry), then manage the roster shift.
