In Imploy, you can manually clock a shift from two places:
the Scheduler Quick Action Menu (right‑click on a shift card), and
the Shift Details panel (open the shift, then use the staff actions inside the shift).
If you haven’t already, see the related article: Scheduler Quick Action Menu (it explains how to right‑click and what appears in that menu).
Option 1: Manual clocking from the Scheduler Quick Action Menu (fastest)
This is the quickest method because it’s available directly on the calendar.
Right‑click the shift card to open the Quick Action Menu. Depending on the shift’s current clocking state, you’ll see one of these:
Clock In
Use this when the shift has not been clocked in yet. You’ll be asked to confirm, and the shift will be marked as clocked in.
Clock Out
Use this when the shift has been clocked in but not clocked out yet. When you clock out manually, you’ll be required to add shift notes before you can complete the clock out.
A few important rules for the right‑click method:
It only shows clocking options for single‑staff shifts (one assigned staff member).
It won’t appear for vacant / Shift Pool shifts (because no staff member is assigned).
If a shift is already clocked in, Clock In won’t be available.
If a shift is already clocked out, clocking actions won’t be available (the shift is considered complete).
This method is ideal when you’re working through a day/week view and quickly fixing missing clock-ins/outs one shift at a time.
Option 2: Manual clocking from Shift Details (best for more control)
Open the shift’s details (for example, click the shift card to open the details panel). In the shift details, you’ll see the staff member(s) listed with their current status.
From here, you can manually clock in/out via the staff action menu. This is especially useful when:
the shift involves multiple staff (group shifts),
you want to see extra context (client/site, time window, shift status),
you need to manage clocking on a site shift where multiple clients may be involved.
Inside Shift Details, clocking actions appear based on each staff member’s status:
If they are not clocked in, you’ll see Clock In.
If they are clocked in but not clocked out, you’ll see Clock Out (and you can also add a shift note during the shift).
If they are clocked in and clocked out, the shift is complete and clocking actions are hidden for that staff member.
You’ll also see clear indicators for clocking status (for example “Not clocked in”, “Clocked in”, “Not clocked out”, or “Shift complete”), which makes it easier to double-check you’re updating the right entry.
What happens when you manually clock out (notes required)
Manual Clock Out requires shift notes. This is intentional: it ensures there’s always a written record explaining what happened during the shift, even when clocking is being completed administratively.
When you click Clock Out, a dialog opens where you enter the notes and confirm. Once saved:
the shift updates to show the recorded clock out status, and
the roster refreshes to reflect the completed shift.
For site shifts, you may also be prompted to confirm which clients the shift note applies to (it will typically default to selecting all relevant clients, and you can adjust if needed).
Important operational notes (admin-friendly)
Once clocking is involved, the shift becomes progressively more “protected” to keep your records consistent.
In practice:
After a shift is clocked out, you can’t cancel or delete it from the roster.
Edit actions will also be restricted once clocking starts, depending on the shift type.
If you’re unsure whether a shift should be edited versus manually clocked, a good rule of thumb is:
Fix scheduling details (time, allocation, etc.) before the shift is considered complete.
Use manual clocking to correct the attendance record when the roster is correct but the clocking is missing.
