Filling a Vacant Shift with AI Assist (Staff Recommendations)

AI Assist helps you choose a suitable staff member when you’re not sure who to allocate, or when you want a faster way to compare options.

To use it, click AI Assist on a vacant shift. (If your account is on the Free tier, AI Assist will prompt you to upgrade before you can use it.)

What AI Assist shows you

AI Assist opens a panel with:

  • Vacant Shift Details (client, type, date, time, address)

  • A list of Recommended Staff Members

Each recommended staff member includes:

  • A score out of 100

  • A Best Match label (top suggestion)

  • A Familiar label if they’ve worked with the client before

  • Key Information explaining why they were recommended

  • Travel time (minutes) and distance (km)

  • Their hours this week

  • How many appointments nearby today they have

  • A link to open their address in Google Maps

Assigning from AI Assist

From the recommendation list, click Assign next to the staff member you want. You’ll be shown a confirmation screen with the shift details before it finalises.

When you confirm, the shift is assigned, the schedule is updated, and the staff member is notified. The Vacant Shifts list then refreshes so you can see it’s been filled.

If AI Assist shows “No recommendations available”, you can still use Assign (manual assignment) to fill the shift.
