Extending a Shift

Extend the end time of a shift that is in progress or completed. How Imploy handles the change depends on the shift status, updating the published shift, billables, and timesheet accordingly.

Extending a shift lets you push out the end time of a shift that is already in progress or has finished, without deleting the shift and rebuilding it. It is useful when a worker stays back, a client needs more support than planned, or a handover runs longer than scheduled.

How Imploy handles the change depends on the status of the shift, so each case is explained below.

You can start extending a shift in three ways, and all three produce the same result:

  • Drag the right hand edge of the shift on the Roster to the new end time

  • Right click the shift and select Extend Shift

  • Open the three dots menu on the shift and select Extend Shift.

Editing a shift that has not started

If the shift has not been clocked in, changing the end time is treated as a normal edit rather than an extension. The shift updates to the new time.

Because the shift details have changed, the shift is unpublished. Publish the shift again so the update reaches your staff.

When you republish, staff who have the shift in their profile are notified that the shift has been updated. This notification is sent on both the mobile app and the web app.

Extending a shift that is in progress

If a staff member has already clocked in, extending the shift opens the Extend Shift dialogue, and you will need to complete it before the change can be applied.

The dialogue shows the current end time alongside the new end time, and how long you are extending by. Set the New end date and New end time, or use the quick duration buttons to jump to a standard length. Enter a Reason for change, then select Extend by to confirm. You can select Cancel at any point to discard the change.

If the shift has been extended before, the dialogue also shows an Originally line with the shift's original end time, and an Extension history section below.

This lists each previous extension, including the time it was changed from and to, the amount of time added, the reason given, and who made the change and when.

Because the shift is already in progress, it cannot be unpublished as a whole. Once you confirm the dialogue, the extended part is published automatically and joins the rest of the shift, and the shift totals update to reflect the full, extended time.

Once the extension is applied, the shift card on the roster shows an Extended badge with the additional time, for example Extended +1h 30m. The displayed start and end times and the total shift length update to reflect the full, extended shift.

Extending a shift that has been completed

If the shift has already been clocked in and clocked out, extending it opens a Review Changes dialogue so you can see the effect on billing and payroll before you confirm. The dialogue shows the current and new end times, how long you are extending by, and any billable entries or timesheet entries linked to the shift, along with their amount and status.

Select Update billable entries to void the existing billables and regenerate them with the new time. Select Update timesheets to adjust the linked timesheet entries to match. The voided entries remain on record, so there is a clear history of the change.

Select Confirm & Update to apply the change, or Back to return without saving.

Important: If a linked timesheet has already been processed through Xero, it cannot be updated
