Editing a Client Shift

To edit a standard shift, open the shift on the Scheduler (in Clients view) and select Edit. This opens the Edit Appointment panel.

Shifts that have started or finished can’t be edited

Once a shift has staff time recorded against it, Imploy locks editing to protect timesheets, billing, and reporting accuracy.

A shift can’t be edited if it is:

  • Clocked in (the shift has started)

  • Clocked out (the shift has finished)

  • Completed (both clock-in and clock-out have been recorded)

If you need to correct something on a shift in one of these states, use your existing workflows for manual clock-in/out or shift updates in the shift details view, and follow the cancellation/voiding processes where applicable.

What you can edit

Most of the shift details can be updated, including:

  • Appointment title (what shows on the calendar)

  • Client (changing the client will also change the available appointment types, and can update the address)

  • Staffing

    • Assign or change the employee for a 1:1 shift

    • Turn Shift Pool on/off (vacant shift vs assigned shift)

  • Appointment type

    • For NDIS clients this uses your NDIS appointment types

    • For non‑NDIS clients this uses your standard appointment types

  • Apply Travel Claim In-between

  • Start / End time (and you can use the Duration buttons to quickly set the end time)

  • Appointment address

  • Appointment comments

What you can’t edit (from the edit screen)

There are a couple of important limits:

You can’t convert a client shift into a client group shift from the edit screen.
If you need the shift to be a group shift (multiple staff), you’ll need to create it as a group shift instead (or recreate the shift correctly). The edit screen will show the group shift option but it’s not changeable.

You can’t turn a non‑recurring shift into a recurring shift (or turn a recurring shift off) from the edit screen.
If a shift is already recurring, you can edit parts of the repeat pattern (depending on the situation), but the “Recurring” toggle itself isn’t something you switch on/off here.

Editing a recurring shift

When you edit a shift that is part of a recurring series, Imploy will ask how you want the change applied:

Option 1: Update only this shift

Choosing “No” changes just that single occurrence on that date.

This is best when the change is a one-off exception, for example:

  • One week the shift starts later

  • One week a different staff member covers the shift

  • One week the address is different

What happens next:

  • That occurrence becomes its own exception, and get's detached from the other shifts it was apart of. This means if you delete, cancel, or edit the other shifts it was apart of in the future, this shift will now not be affected.

  • The rest of the recurring shifts stay the same as they were.

Option 2: Update this shift and all future shifts

Choosing “Yes” applies the change from this point forward.

This is best when the roster is changing long-term, for example:

  • The start/end time is changing permanently from next week onwards

  • The assigned employee is changing ongoing

  • The appointment type needs to be updated for all upcoming shifts

What happens next:

  • The change applies to the selected shift and every future shift in that series.

  • Past shifts are not changed.

A simple example

If you have a recurring shift every Monday at 9:00–12:00:

  • If you edit next Monday and choose No, only next Monday changes.

  • If you edit next Monday and choose Yes, then next Monday and every Monday after it will follow the new details.
