Creating and Assigning Tags

Tags help you organise and filter forms and documents across IndyForms.

With Tags, you can assign colours to tags, control visibility by group, and apply them where needed.

Where Tags Are Used

You can apply tags to:

  • Forms

  • Documents

Tags support filtering, sorting, and group-based visibility control across IndyForms.


Creating a Tag

  1. Go to Advanced > Tags

  2. Click + Create New

  3. Fill in the fields:

    • Label – the name of your tag

    • Colour – choose from the available options

    • Visible To Groups – optional: select which user groups can use this tag
      If no group is selected, the tag will be visible to all users (including public form guests).

  4. Click Add Item to save


Assigning Tags to Documents

  1. Go to Documents from the side menu

  2. Click on the document you want to tag

  3. In the document preview, use the Tags dropdown to apply or remove tags

You can apply multiple tags to each document for better categorisation and filtering.


Assigning Tags to Forms

  1. Open the form and go to the Settings tab

  2. Scroll to the Form Details panel

  3. Use the Tags dropdown to apply one or more tags

Q. Can I apply more than one tag to a form or document?

A. Yes — you can assign multiple tags to both forms and documents.

Q. What happens if I don’t select a group for tag visibility?

A. If you don’t assign a group, the tag will be visible to all users, including public form guests.

Q. Can tags be applied to users?

A. No — tags can only be applied to forms and documents.

Q. Can I edit or delete a tag after creating it?

A. Yes — go to Advanced > Tags and use the ✏️ icon to edit or the 🗑 icon to delete a tag.

Q. Where do I find the tag option on a form?

In the Settings tab of the form builder, under Form Details, you’ll see the Tags field.

Q. Who can create or manage tags?

A. Only users with admin-level access can create, edit, or delete tags.


💡 Tips

  • Keep tag names short and clear. Use 1–3 words so they’re easy to scan (e.g. HR, NDIS, Templates).

  • Use colours consistently. For example, use blue for templates, green for active forms, or yellow for draft content.

  • Group visibility helps reduce clutter. Use it when tags should only be visible to specific teams or departments.

  • Preview your tag before saving. Make sure the colour and label work well together.

  • Review your tag list regularly. Clean up unused or outdated tags to keep things tidy.
