Templates are reusable designs and messages you can pick from every time you create a campaign, instead of starting from scratch. Within Innercrowd, you can create templates for your email and WhatsApp campaigns. Both have a different structure. This article explains it all.
Email templates
It's best to create a template that includes all your branding without the exact message of the campaign. While creating a campaign, you can select this template and update it for that specific campaign. This will not update the template itself, so it's reusable for your next campaign.
Step 1: Open your email templates

Click Create a new email template, name it, and choose to reuse an existing campaign, a saved template, a design from the template library, or Create from scratch. Either way, you land in the same drag-and-drop editor used for campaign emails.
Build your layout by dragging blocks from the panel on the right into the email canvas on the left:
Columns split the email into 1, 2, 3, or more columns to lay out content side by side
Heading and Paragraph text blocks with their own font, size, color, alignment, and line-height controls; paragraph text supports inline formatting like bold, italic, links, and lists
Image upload an image or paste a URL, then set its width, alignment, alt text, and an optional click-through link
Button a call-to-action with its own label, link, colors, border radius, and padding
Divider a horizontal line to separate sections, with adjustable color, thickness, and width
Social a row of social media icons that link to your profiles
Menu a simple horizontal list of text links, useful for a navigation-style header or footer
HTML drop in custom HTML for anything the other blocks don't cover
Click any block once it's on the canvas to open its settings in the right-hand panel.
Use the Body tab to set email-wide defaults like background color and content width, and the Blocks tab for a specific section within your template.
Switch the preview between desktop and mobile using the icons above the canvas to check how your layout reflows on a smaller screen.
Step 3: Save your template and edit it
When your design is done, click on Save Template in the top right corner of the pop-up. You will go back to the overview page. From here, you can either edit the template by clicking on the name of the template or via the three dots on the right. Via the three dots, you can also make a copy of the template or delete it.
WhatsApp templates
WhatsApp templates must be approved by Meta before you can use them in a campaign or an automated message. Please take in mind that it can take up to 24 hours for Meta to approve a template.
You can create a template within two categories:
Marketing (most-used): promotional purposes
Utility: operational updates
Please note: sending WhatsApp messages has a cost per message sent. These costs are different per region and are billed directly to Meta. You can check out the costs per region here.
Step 1: Open your WhatsApp templates
Go to Campaigns > Templates > WhatsApp, then click 'Create new WhatsApp template' in the top-right corner. Enter the name of the template in the pop-up. This name is only for you; the audience won't see it.
Step 2: Template details
Before you're able to create the template itself, you will need to fill in some details:
WhatsApp Phone number: select the phone number that's going to send out the template. A template is always linked to a phone number, and the message cannot be sent out under a different number.
Select Template Type: either choose marketing or utility
Language: select the language you're going to write the template in
Step 3: Create a template
WhatsApp has limited features for customising a template. You have the options to customize the header, the message itself, and add a maximum of two buttons to the template. Check out all options below:
Header (optional): add a Text, Image, or Video header that appears above your message
Message: the body text of your template. You can personalize the message by adding variables. Click Add variable to insert a field, for example: first name. The text can also be customized by using the cheat sheet on the left. The WhatsApp Preview panel on the right updates live as you type.
Footer — a short line of text under the message, commonly used for a compliance note like "Send 'STOP' to unsubscribe"
Buttons (optional) — click 'Add button' to attach one or two of the following button types:
Url button: opens an external website
Link to quest (for ambassadors): sends the contact straight to a quest
Unsubscribe button lets the contact opt out directly from the message
Tickets download link: links to their purchased tickets
Personalisation link: links to a page to personalise tickets
Add tag to contact: tags the contact when they tap the button
Conversation starter: opens a WhatsApp conversation with your business
Double opt-in: confirms consent directly from the template
Step 4: Check approval status
After saving the template, it will initially show as pending. After Meta approves the template, it will show in the overview message. From this point, you can use the template in a campaign or workflow.
