Connect Forms to Open To Close (OTC)

Learn how you can connect opportunity forms to OTC through OTC's Inbound Webhook feature through InterFace's Automation Platform.

To connect an Opportunity Form with Open To Close, you'd need Inbound Webhooks enabled in your OTC account. At this moment, the feature is in Beta, and you may have to reach out to their support to enable it in your account. Once enabled you should see an Inbound Webhooks section under Webhooks in OTC:

Title: Name of the webhook for you to identify. For example, you can name it "InterFace Listing Agreement Form Create Property" or "InterFace Create Seller Property".

Action: Choose whether the webhook will create a new property or update an existing property in OTC. For this article, we will process with Property Created option:

This is how the created hook would look like:

Click on the URL to copy the hook.

Now, log into your InterFace account > Automation platform > Create New Workflow.

You can name the workflow with what you are mapping, for example, Listing Signed Form to OTC. And select InterFace Forms > Listing Agreement Form as trigger:

Make sure you test the trigger with a recent form submission, preferrably a recent test entry in your test FUB lead record.

Under 'Select an automation', select Webhook to OTC:

Now, paste the copied Webhook URL into the field:

You can test action now. On a successful test, you can switch back to your OTC account and click on "Map Fields" under the created Inbound Webhook URL.

You should be able to see the recent "Test" you ran in InterFace as a JSON payload, which you can "Set As Default".

Now, you can click on "Add Mapping" and map the data points from InterFace Form to fields in OTC. You can also map contacts, documents, Team ID, Member ID and Assigned to.

Under settings, you can also determine the default Contract Client type and Contract Status and Time zone:

You can set Field Mapping, Settings, and Triggers as you wish, depending on the form you are submitting. You should be able to find detailed articles in Open To Close knowledge base on how to make the most of this feature.

Don't forget to turn the webhook ON!

Once turned ON, go to InterFace automation and hit Test Action Again:

Now, under notifications in OTC, you should see a new notification.

You should be able to see the new received webhook:

Once you click on View Webhook, it should show you the details of the hook, the mapping, the contacts, etc. Make sure everything is right, and then click on Create Property:

This is the standard procedure for all inbound webhooks.

Make sure you turn on the workflow in InterFace:

The inbound webhook setup is complete. We'd recommend thoroughly testing it out, making sure everything is correctly set up.
