Using Invedent’s Scanner for Stock Tracking and Ordering

A complete guide on how to use the scanning feature to track your inventory items and help in ordering stock efficiently

Invedent's stock management is a great tool for tracking your practice inventory and ensuring you always have the products you need. This user guide will help you maximize the scanner feature's ability to track and order your stock with the click of a button.

Important Step

To utilize the scanner feature, you will need to set up your practice stockroom with Invedent's stock location stickers. It is also ideal to have Invedent installed or saved on your device. This will allow everyone on the team to implement scanning as a method of keeping stock on track.

Scanning Feature

To access the scanner, click on the "Scan Here" button on the upper right side of the screen. Using your device's camera, scan the stock location sticker; this will bring you to the Inventory page with the scanned stock location filtered.

From here, there are three ways you can get the best out of this scanning feature:

Scanning Items In or Out

Update an item quantity by adding or reducing an item's stock in hand quantity. You may use the (-) and (+) or update the number on the counter by entering the correct stock count as what is the actual count you have on stock.

Creating Orders

Keeping an accurate stock-on-hand quantity helps automate an accurate list of items that are in need of order. You can scan a stock location and create your orders on the go by flagging the items correctly:

Reorder

When an item quantity exceeds or falls below the set minimum, the system automatically changes the item status to "Reoder." This includes the items on the "Need to Order" list.

Urgent

If an item needs to be ordered urgently, you can change the item status to "Urgent." This will help your ordering manager know which items are high-priority for the next order.

You may add all Reorder and Urgent items to the Cart by ticking the filter "Need to Order" and then adding them in bulk. Alternatively, you may add the items to the Cart individually.

Performing a Stocktake

You may also use this feature to perform a stocktake. Just scan each location you want to conduct the stocktake with, go through the list, and update the stock quantity of the items on the list to match the actual stock on hand you have in the stockroom.
