Step-by-Step Guide to Assigning Entities to Metrics in the KEY ESG Platform
Quick Definition: What is an Entity?
An entity on the KEY ESG platform refers to any structure within your organisation for which you want to collect data. It doesn’t have to be a legal entity; it could be a specific site or operational area, such as a factory, office, wind farm, or warehouse, tailored to suit your data collection needs.
Step 1: Access Data Request
Navigate to the Data Request section on the KEY ESG platform.
Set up a new data request or open an existing one to review and confirm entities, metrics, frameworks, and data point requirements.
Step 2: Manage Entities
Click on Manage Entities to see a list of current reporting entities within your organisation.
You’ll see details like entity names, associated tags, and assigned owners.
To add new entities:
Click Add Entity and fill in details (e.g., entity name, country, postal code).
Assign a user and tag to help categorise the entity (e.g., office location, facility type).
Step 3: Create and Use Tags
Tags help group entities logically, like “Factory” or “Office.” You can create new tags by simply typing the desired name.
Step 4: Assign Entities to Metrics
In the Data Collection section, locate the metric(s) that need entity assignments.
Click Assign Entities to proceed to the Data Point Assignment page, where unassigned data points appear highlighted in orange.
Step 5: Make Entity Assignments
Click on the Assign Entities button at the top of the Data Point Assignment page.
Toggle assignment status:
Orange indicates a partial assignment to selected data points.
Green means full assignment to all selected data points.
Grey unassigns the entity from all selected data points.
Caution: Unassigning an entity deletes any submitted data for that entity, and this action is irreversible.
Step 6: Adjust Data Entry Cadence
Under Data Point Requirements, select a data entry frequency (e.g., yearly, quarterly, monthly).
Some metrics may only allow specific configurations (e.g., Scope 1 greenhouse gas emissions may only be entered yearly).
Step 7: Save Changes
Once assignments and cadence settings are complete, click Save Changes.
You’re now ready to collect data for your entities in Data Collect.
Conclusion
By following these steps, you ensure that all necessary entities are assigned to the appropriate metrics, streamlining data collection across your organisation’s reporting structure.
