Using KEY ESG's Reports for Fund Managers

Written by Femke Hummert

Introduction

The Reports section of the KEY ESG platform lets you analyse, compare and export ESG data across your whole portfolio. You can review individual portfolio companies, aggregate results by fund, track progress against targets, produce your SFDR Principal Adverse Impact (PAI) metrics, and export auditable files to share with investors, LPs or auditors.

To open it, select Reports from the left-hand menu, then use the year drop-down at the top of the page to choose your reporting year. You’ll see four tabs:

  1. Company: ESG data for an individual portfolio company.

  2. Portfolio: a view across your portfolio, shown by company or by fund.

  3. Targets and Action Plans: the targets set across your portfolio and how the actions against them are progressing.

  4. SFDR Fund Metrics: your fund-level data for SFDR reporting.

Before you start: add your company logo

Your logo appears on PDF exports, so it’s worth adding before you download anything.

  1. Click your initials in the top right-hand corner.

  2. Select User Management.

  3. In your general company settings, upload your company logo.

Tip: logos are displayed on a white background, and horizontal logos work best.

Exploring your data

These features work across the Company and Portfolio tabs:

  • Metrics are grouped into expandable drop-downs. For example, GHG Scope 1 emissions expands into categories such as stationary combustion, which in turn shows individual data points like natural gas or manufacturing fuels.

  • Click any underlined value to drill down to the underlying data entries on the data submission page. Monthly or quarterly detail is shown where data was submitted at that cadence.

Company report

Use the Company drop-down to choose which portfolio company to view.

Then use the Compare/Breakdown drop-down to change how its data is displayed:

  • Vs Prior Year: compare one year against another (e.g. 2024 vs 2025), with the variance shown as a percentage. You can also set a variance threshold (%) to only show metrics whose change exceeds a set level, and use the Performance filter to show only improvements or only regressions.

  • Entity breakdown: view results by site or location, such as a company’s London or Amsterdam offices.

  • Quarterly breakdown: useful for investors who need quarterly figures.

  • Monthly breakdown: see each month of a reporting year for detailed analysis.

You can narrow the report further with Filter metrics and Filter entities.

Any Company report view can be exported as Excel or PDF.

Portfolio report

Use the Data Request drop-down to choose which data request to report on (for example, EDCI or SFDR). You can then filter by:

  • Metrics (e.g. environmental or social metrics)

  • Companies and funds

  • Countries

  • Industries

Viewing by company and fund average

  1. Set Show portfolio by to Companies.

  2. Switch on the Fund average toggle.

The fund average for your selected metrics appears in the first column, followed by the values for each portfolio company, so you can compare each company against the fund as a whole.

For custom Yes/No metrics, the fund average follows the roll-up setting on that question. By default this is the percentage of portfolio companies (or entities) that answered Yes, but a question can

instead be set to roll up as “Yes if any answer is Yes” or “No if any answer is No”.

Viewing by fund

Set Show portfolio by to Funds to see metrics summarised per fund without the individual companies. This mode shows total values per fund rather than averages.

Both modes can be exported via Export > Export as Excel.

Targets and Action Plans report

This report gives you an overview of the targets set across your portfolio and how the actions supporting them are progressing, so you can see which targets have been actioned and where attention is needed. You can filter it by company and export it as a PDF.

SFDR Fund Metrics report

  1. Open the SFDR Fund Metrics tab.

  2. Make sure your SFDR data request is selected in the far-left drop-down.

  3. Use Filter Funds to choose a fund, then click Apply.

  4. Hover over any metric for more detail. For example, hovering over Scope 1 GHG emissions shows how many portfolio companies provided complete data for the calculation (PAI coverage).

Emissions metrics are weighted using the equity share approach, which adjusts each company’s emissions according to the proportion of the fund’s investment in it, so the reported figures reflect your fund’s financial exposure.

The SFDR report can be exported as Excel or PDF. For a full walkthrough, see Viewing and Analysing Your SFDR Report.

Saving your view

Once you’ve set up a view you like, click Save View, give it a name (e.g. “Fund II EDCI Quarterly Report”), and choose whether to share it with your organisation or keep it private. You can return to it anytime via Select saved view.

Exporting and sharing your reports

Click Export to download your data. The available options are:

  • Current report view: exactly what you’re looking at, with your filters and breakdowns applied (Excel, or PDF from the Company tab).

  • All data for the current year (Excel).

  • All-time data (Excel).

  • Quarterly or monthly data by entity and company (Excel).

  • Carbon auditable report (Excel): designed for external reviews and audits. Alongside the Periodicity (Yearly, Quarterly, Monthly) and Year columns, it includes separate Month and Quarter columns so you can filter sub-annual figures directly. The Month column shows the month name for monthly rows; the Quarter column shows Q1–Q4 for both monthly and quarterly rows. For example, filtering Quarter to Q1 returns January, February and March rows plus any data collected quarterly for Q1, giving you a clean quarterly figure even when portfolio companies collect data at different frequencies.

  • SFDR PAI report (Excel or PDF).

  • Targets and Action Plans report (PDF).

  • All notes as PDF.

You can also copy your report to the clipboard and paste it into your preferred application.

Troubleshooting

My report shows “no data”. Check that a data entry method is selected. If none is selected, the whole report will display as “no data”. On the Portfolio tab, also check you’ve selected the right data request.

My fund or SFDR figures look incomplete. Fund-level metrics are only as complete as the underlying submissions. Make sure all portfolio companies have completed their data requests, and check the PAI coverage figure by hovering over the metric.

I can’t see a breakdown by site. Entity breakdowns only show data for entities assigned to data points. See Setting up entities in the KEY ESG platform.
