How To Customize Meeting Summary Templates

Summary Templates control how Kickscale structures AI-generated summaries after each Meeting.
You can fully customize these templates or use AI to generate a strong starting point.

This helps your team get consistent, CRM-ready summaries with less manual work.


Where to find

  • Go to Settings in your Kickscale workspace.

  • Select Analysis Configuration.

  • Go To Meeting Types

  • Select the meeting typ you want to edit

  • Go to the Summary Tab


Edit the Template Manually

  • Adjust the structure and instructions of the template.

  • Use [Instruction] placeholders to guide the AI.

  • Define exactly what information the summary should include.


Create with AI

You can also create Summary Templates using AI.

This is helpful if you want a best-practice template without starting from scratch.

How it works

  • In the Summary Templates edit screen, click Create with AI.

  • A dialog opens where you describe what you want in the summary.

  • The AI generates a complete Summary Template for you.

What to include in your description

Describe in plain english what information to capture for this meeting, in what structure and what to focus on


Example Descriptions:

Demo Call

Capture customer reactions, questions, and objections during the demo.
Focus on buying signals, concerns, and next steps.
Structure the summary into Demo Highlights, Customer Feedback, Open Questions, and Next Steps.

MEDDIC

Capture information related to Metrics, Economic Buyer, Decision Process, and Pain. Focus on qualification signals and deal health indicators. Structure the summary following the MEDDICC framework with clear bullet points.

Focused Discovery

Capture the customer’s current sales process and challenges. Focus on workflow gaps, manual CRM updates, and missing visibility for sales leaders. Structure the summary with sections for Current Situation, Key Challenges, Impact, and Desired Outcome.

The AI uses prompt engineering and best practices to draft a structured template.

After the template is created

  • Review the generated template carefully.

  • Use it as-is or customize it further.

  • Adjust wording, structure, or placeholders if needed.

This gives you a strong starting point while keeping full control.


Example Summary Template

Customer Participants:
[Insert a list of participants on the customer side, including their position in the company]
Summary:
[Insert a bulleted list of the key insights from this conversation]
Next Steps:
[Insert a bulleted list of the next steps to be taken]
Outcome:
[Describe concisely in one sentence what the outcome of the Meeting was]

Tips & Best Practices

  • Be specific in instructions to improve AI output.

  • Use bullet points for better readability.

  • Test templates with real Meetings.

  • Keep the structure consistent across languages.

  • Use Create with AI to save time and align with best practices.


Troubleshooting

  • If summaries feel too generic, refine your instructions.

  • If information is missing, be more explicit in the template.

  • If languages differ, update each language version separately.
