Prerequisite
This feature is currently only available for workspaces connected to HubSpot.
This feature is available to Users with the Workspace Level Admin or Configurator Role, and Users with the Team Level Team Admin Role.
By default, Kickscale matches every conversation to your CRM in the same order: Contact, then Company, then Deal. If no contact is found, the conversation isn't synced.
Some teams - especially those running outreach through HubSpot's Leads object - want to match to the Lead first, and only fall back to a Contact if no Lead exists for that person. You can now choose this per meeting type.
Tutorial: How to Set the CRM Sync Method for a Meeting Type
Step 1: Open the Meeting Type
Navigate to Settings, then Meeting Types & Analysis > Meeting Types or Call Types, and open the meeting type you want to change from the list.
Step 2: Go to the CRM Tab
On the meeting type's edit page, open the CRM tab.
Step 3: Choose the Sync Method
Under Default CRM sync method, choose one of the following options:
Contact first (default) — matches Contact, then Company, then Deal.
Lead first — looks for a matching Lead first. If one is found, the conversation is synced to that Lead. If no Lead is found, Kickscale automatically falls back to the Contact → Company → Deal match.
Step 4: Save Your Changes
Click Save at the top of the page to apply your changes.
💡 Good to know
This is a per meeting type setting, not a workspace-wide one. Different meeting types in the same workspace can use different sync methods — for example, "Discovery Call" could stay Contact first while "Cold Outreach" is set to Lead first.
If a contact has more than one Lead in HubSpot, Kickscale picks an open Lead over a closed one, and if there is more than one open Lead, the most recently created one.
This setting only affects conversations synced from now on. It does not change how conversations that already synced were matched.
