Recording Retention Settings for Your Workspace

This article explains how admins can control recording retention settings across their Workspace in Kickscale. Learn Workspace settings and ensure consistent recording retention policies for all User in Workspace.

Written by Team Kickscale

Overview

Workspace admins can now decide whether users can customize their own recording retention settings.

With the Allow Users to Customize Retention Settings option, admins can enforce consistent retention policies across the entire Workspace.

When disabled, all users must follow the Workspace's recording retention settings. This helps your organization maintain consistent data management and privacy policies.

  • If it is turned off, the workspace settings apply to everyone, users can't edit their personal recording settings, and any personal choices they made earlier are ignored.

  • If it is turned on, each user can adjust their own settings, and Kickscale always follows the most restrictive setting in a meeting. For example, suppose a user has turned off Meeting Recording and joins a meeting with colleagues who have it turned on. In that case, no recording of the meeting is saved. The meeting is still transcribed and analyzed, and the recording page shows which user's setting prevented the recording. In the same way, if any Kickscale user in the meeting has chosen audio only, the meeting is saved as audio only.

How to Configure Recording Retention Settings

Step 1: Open Recording & Privacy Settings

  1. Open Settings in Kickscale.

  2. Navigate to Workspace → Recording & Privacy.

  3. Find the Meeting Recording & Retention and Call Recording & Retention sections.

Step 2: Configure User Permissions

In each section, you'll find the setting Allow Users to Customize Retention Settings.

  • Enabled: Users can customize their personal recording retention settings.

  • Disabled: Users have to use the Workspace's recording retention settings.

You can configure this option separately for Meeting recordings and Call recordings.

Step 3: Save Your Changes

  1. Enable or disable Allow Users to Customize Retention Settings according to your organization's needs.

  2. Click Save in the corresponding section.

Your selected retention policy now applies to the Workspace.
