Managing Email Follow-Up Templates in Kickscale

This tutorial will show you how to set up and customize follow-up emails for different types of meetings

In Kickscale, you can manage email follow-up templates in two different ways:

1. Centrally by the workspace admin

2. Individually by each user

This article will guide you through both methods, explaining where and how to configure the templates.


1. Centralized Management of Email Templates

In this method, email templates are centrally managed by the workspace admin. Users cannot define their own templates, ensuring consistent follow-up emails across all meeting types.

How to Set Up Centralized Email Templates:

1. Go to Settings.

3. Scroll down to the Email Templates section.

4. Deactivate the user-specific templates option.

5. Click Manage Email Templates.

(You will be redirected to the Meeting Type Configuration screen.)

6. Choose the meeting type you want to edit.

7. Click Edit and navigate to the Email Follow-Up Templates tab.

8. Customize the follow-up template for the selected meeting type.

Benefits of Centralized Management:

• Ensures uniformity in follow-up communication.

• Saves time for users by providing ready-to-use templates.


2. User-Specific Management of Email Templates

Alternatively, you can enable user-specific email templates, allowing each user to define their own templates for different meeting types.

How to Enable User-Specific Email Templates:

1. Go to Settings.

2. Select Workspace Settings.

3. Scroll down to the Email Templates section.

4. Activate the user-specific templates option.

This allows users to manage their own follow-up templates.

How Users Can Define Their Own Email Templates:

1. Each user should go to Settings.

2. Select the User tab.

3. Find the Email Follow-Up Templates section.

4. Add a template for a specific meeting type by clicking Add Template.

5. Customize the email template according to their preferences.

Benefits of User-Specific Management:

• Allows users to personalize follow-ups based on their communication style.

• Provides flexibility for different types of meetings.

Q: I don’t see the option to manage email templates in my settings.

A: Ensure you have the necessary admin rights to access and edit workspace settings.

Q: Users cannot add their own email templates.

A: Check if the user-specific templates option is activated in the Workspace Settings.
