How to Update Your Caseload for the New School Year

Preparing for a new school year involves a lot of planning, but updating your caseload shouldn't add to your stress! With Kit, you can transition your caseload to the new school year seamlessly in just a few clicks! Here's how you can do it:

1. Head to the Caseload Page:

  • Navigate to the Student Grid section within your Kit account

  • Click on the previous school year at the top of the page

  • Click ‘Add School Year’

2. Add Your Caseload for the New School Year:

  • A pop-up will appear asking how you would like to create your caseload for the new school year

  • You can opt to copy your existing caseload to the new school year to quickly duplicate your current caseload information

  • Click 'Confirm and Continue'

Just like that, your caseload for the new school year will be updated! Here’s what changes you can expect:

Students:

  • All students will be transferred to the new school year.

  • Student demographic information, such as DOB, caregiver details, and student IDs, will remain attached to their profiles.

  • Teacher-specific fields from the previous year (e.g., teacher's name, email, and room number) will be removed, allowing for new assignments.

  • Relevant IEP records for the new school year will stay attached to the students’ profiles.

  • Students’ grade levels will automatically update to the next grade level.

Teachers:

  • All teachers will transition over to the new school year.

  • Preferred Times and Obstacles from the previous year will be removed from the teachers’ profiles.

Schools:

  • All school records will carry over to the new school year.

  • Descriptive titles for school breaks and progress report due dates (e.g., ‘Winter Break’, ‘Fall Break’, ‘Q1’, ‘Q2’) will remain within the school profile, however, specific break dates and due dates will be removed.
