Setup couples & other groups on Klarify

Learn how to set up couples, families, and other groups so Klara can write accurate notes for sessions with more than one client.

Klarify starts every client as an individual. When you see a couple, a family, or any group, you can set up a group so Klara knows there is more than one person in the room. This helps Klara tell people apart and write a cleaner, more accurate note.

The steps are the same no matter how big the group is. A couple works just like a family of five.

Set up the group before you record

This is the part that matters most.

When the group is set up first, Klara can recognize multiple people in the session and write a more accurate note. You can still create a couple or family note without setting up a group, but the note will not be as accurate.

Step 1: Create each client

Add every person in the group as their own individual client first.

  1. Go to "Clients"

  2. Add each person one at a time

  3. Save

You only do this once per person. If someone is already in your client list, you can skip ahead to Step 2.

Step 2: Create the group

  1. Go to "Clients"

  2. Press "Create group"

  3. Add the clients you want in the group

  4. Give the group a name and save

Now the group is ready. When you record a session for this group, Klara will know to expect more than one voice.

Recording a group session

Once your group is set up, a group session works like any other session. Pick the group instead of an individual client, record, and let Klara draft the note. You review and sign.

Because you set the group up first, Klara can follow the different people in the conversation and keep the note clear about who said and did what.

Supervision sessions are different

Supervision is not a client session, so a group is not the right fit here. For supervision, use a custom rule instead. The rule tells Klara that this is a supervision session, not a session with a client. That keeps the note in the right shape for that context.

A few things to keep in mind

Set up the group first. This is the step that lets Klara recognize everyone and get the note right. Skipping it is the most common reason a group note comes out less accurate.

You only build a group once. After that, it stays in your client list, and you can use it for every session with that couple or family.

Your data stays yours. Klarify never trains on your notes, transcripts, or client data. A group session follows the same HIPAA, PHIPA, and PIPEDA standards as the rest of Klarify.

Klara drafts, you sign. The group note is a first draft. Your clinical voice and final review are what make it yours.
