Store a document in the client's Files area
Use this for treatment plans, intake forms, assessments, letters, worksheets, resources, and other documents you want organized with a client.
Open Clients.
Select the client.
Open Files.
Select Upload, or drag files into the Files area.
Choose a category for each file. This is optional, but see below for why it matters.
You can upload up to 50 files at a time. Supported types are PDF, DOC, DOCX, PNG, JPG, JPEG, TXT, Markdown, and RTF.
From the Files area, you can filter, categorize, download, or remove files, and share a file with the client through their portal. You can also link suitable items from your Klarify resource library.
One category changes how your notes are written
Most categories are labels that help you organize and filter. Treatment Plan is different.
When a file on a client's record is categorized as Treatment Plan, Klarify reads it every time it writes a note for that client. The note is then written against the goals, modality, and interventions in that plan. Nothing else needs to be turned on.
Two things follow from that:
If you upload a plan and leave it uncategorized, your notes will not use it.
Klarify has to be able to read the text. A photo, a screenshot, or a scanned PDF with no text layer will upload and display normally, but Klarify cannot read it and your notes will not use it. Use PDF, DOCX, RTF, Markdown, or plain text for a plan you want Klarify to work from.
See Treatment plans in Klarify for the full workflow, including how to attach a plan to a Klara chat and how to have Klara draft one.
Turn historical text into a session and note
Use this when you have an old transcript, progress note, or other text and want Klarify to create a session record and generate a note from it.
Open Record.
Select Upload.
Choose Text. On smaller screens, the button may be labeled Upload text.
Paste the text.
Select the client or group and finish the session setup.
Generate and review the note.
Uploading a document to the client's Files area does not by itself create a session or note. It stores the document, and if it is a treatment plan, it informs future notes.
Attach a Klara chat to a client or group
To keep a Klara chat with the appropriate client record:
Open the Klara chat.
Open the more-options menu beside the chat input.
Select Attach to Client File.
Choose a client or group.
The chat then appears in that client or group's Chats area. This organizes the chat with the client record; it does not automatically attach every client file to every Klara message.
