Completing a Client Asset Service Record On The Mobile App For Planned or Reactive Maintenance Job

Using the Klipboard mobile app to Scan an Asset QR tag or Search to find a Service Record requiring completion.

Asset Service Records are completed by your field team members when carrying out either planned or reactive maintenance on an Asset.

Asset Services Required

If there are Planned Maintenance Service Records or Reactive Maintenance Service Records due you will see a red notification dot stating the number of services due to be performed as part of this job.

Once a Team Member has completed and synced the Asset Service Record on the app, then the PPM Schedule for that asset is updated to the next Service date if it was a Planned Maintenance Service Record completed. If it is a Reactive Maintenance Service record completed then the PPM Schedule for the asset is not changed.

You also have the option to add a new service record by selecting Create Service Record on the app.


Scanning an Asset QR tag or Searching to find a Service Record requiring completion.

When you tap on Asset Services it will show you a list of all the Service Records for the assets that are due servicing. You can search for a specific asset in the list of service records that are due by searching for the asset or scanning a QR tag on the asset. Both options will then show you the relevant service record for completion.

Team Members can take up to 6 images within each Service Record. Please note you can not take image captions but if you need to add comments to your images you should use the Details text field just above the images.

If it is a Reactive Maintenance Service record completed then the PPM Schedule for the asset is not changed.


Parts, Products, Services or Labour

On an Asset Service Record, you can associate any inventory Products or Services used on the PPM Servicing or Reactive Maintenance of that asset. When the Service Record is completed and the overall job is completed, the chosen products and services will be automatically added to the job Invoice for billing.


Signature Capture For Completion 

Once done, select Add Signature complete the record and then select to sync the record back up to the Web Dashboard.
