How to Manually Add New Contacts

Learn how to manually add contacts to your Smart CRM.

Need to add a new lead to your Smart CRM? Review requirements and follow these steps to manually add a contact.

How to Manually Add a Contact

  1. Login to btPRO.

  2. Click on the 'Quick Actions' menu at the top of your Dashboard. You can also select the Add Contact button next to the search bar at the top of your screen.

  3. In the modal that appears, enter your contact's information.

    Required Contact Fields

    • First Name

    • Last Name

    • Email Address OR Phone Number

      • ABOUT: A cell phone number is recommended so the system can successfully send text messages via Smart Campaigns.

      • NOTE: Have a physical address only? Click here to see how to add them.

    • Permission to Call, Text, or Email?

      • ABOUT: Notate which communication channel the lead has opted into. If you do not mark any as 'Yes', the contact will still be created, but a warning will display explaining, β€œContact not subscribed. This contact will be created, but will not be able to receive emails, calls, or text messages". Opt in must be received from the contact before you can send communications via btPRO in order to remain compliant with TCPA and Anti-Spam laws and standards.

      • NOTE: You will be able to change these permissions later if a contact hasn't given you permission to communicate electronically at the time you add them.

    • Lead Type: By default, the type will be set to 'Buyer', but you can select one or more as applicable. Types are used to help organize your contacts within the Smart CRM.

    Optional Contact Fields

    • Lead Status: Select a status to organize the contact within the Smart CRM.

    • Lead Source: Select a lead source to organize the contact within the Smart CRM.

    • Lead Owner: Notate who the owner of the lead is (company, team, or agent). This is mostly relevant to Admins who may be adding contacts to the system.

    • Smart Campaign: Manually select a Smart Campaign to be added to the contact and start to fire.

    • Add Lender: If a preferred Lender is associated with your account, you can choose to share the contact with them

      • NOTE: If a Lender is added as the primary Lender in your Agent profile they will automatically be assigned to the contact.

    • CC Lender: If you add any notes at the time you are adding this contact, the CC Lender option will send a copy of those notes to the Lender added above.

    • Note: You can add notes about the contact that will appear in their timeline. After the contact is added you can choose to pin the note to the top of their timeline so it is always visible when you open their record in btPRO.

      • TIP: You can add a hashtag as a note! Use the '#' symbol in this case.

  4. Save.

How to Add an Address-Only Contact

There may be times when you don't have contact information and only a physical address. Follow these steps to add them to your btPRO Smart CRM.

  1. Login to btPRO.

  2. Select 'Add Contact' from the top of the screen.

  3. In the modal that appears, toggle the 'I only have an address' option on.

  4. The 'Add Contact' modal will change to display options for address-only contacts.

  5. Enter the details.

    Required Fields

    • Address: A physical address is all that is required to add this contact type to your Smart CRM. As you start typing the address, a list of suggestions will appear. Pick the matching address.

  6. Save.

NOTE: Address-only contacts will have a fake/placeholder email address that ends in @kvleads.com.
