How to Create a Lead Task

Learn how to create a task to keep yourself accountable and on track with lead follow up and engagement.

btPRO's task management tools empower you to organize your follow-up communications along with any other important items on your "To Do" list.

Tasks are CRM reminders that can be set manually or automatically as part of a Smart Campaign.

While manual and automated templates vary depending on how you create a task, every task requires a title, due date, and due time.

How to Create a New Task Manually

Tasks can be manually created through the following CRM areas:

  • Quick Actions at the top of every page

  • Lead Profile

  • Mobile App

Create a Task via Quick Actions

To create a new Task via Quick Actions:

  1. Log in to btPRO.

  2. Click 'Quick Actions' at the top of the page.

  3. Click on 'Add Task' from the drop-down menu that appears.

  4. In the pop-up that appears, enter the:

    1. Title

    2. Related lead (use the search option to identify the related profile)

    3. Date/Time the Task is due

    4. Assigned Agent

      1. You can select yourself or the Assigned Agent (if a lead is shared)

    5. Task details

  5. When completed, click 'Add Task'.

  6. The Task will appear in the lead profile, your dashboard, and the 'Notifications' pop-out menu at the top of every page.

Create a Task in a Lead Profile

To create a new Task via a Lead Profile:

  1. Log in to btPRO.

  2. Click 'Smart CRM'.

  3. Search for the desired lead and click on their name to open their profile.

  4. Click 'Tasks' at the top of the profile.

  5. Select '+ Add Task'.

  6. In the pop-up that appears, enter the:

    1. Title

    2. Date/Time the Task is due

    3. Assigned Agent

      1. You can select yourself or the Assigned Agent (if a lead is shared)

    4. Task details

  7. When completed, click 'Add Task'.

  8. The Task will appear in the lead profile, your dashboard, and the 'Notifications' pop-out menu at the top of every page.

Creating a Task via the Mobile App

To create a new Task via the Mobile App:

  1. Open the btPRO Mobile App.

  2. Click on the Contacts tab at the bottom.

  3. Search for the lead and click on their name to open their profile.

  4. Click on the blue '+' icon in the bottom right corner.

  5. Click on 'Add Task'.

  6. On the page that appears, enter the:

    1. Title

    2. Task details

    3. Date the Task is due

    4. Time the Task is due

  7. Click 'Save' or 'Save & Add Another' depending on how many Tasks you want to create.

  8. The Task will appear in the lead profile, your dashboard, and the 'Notifications' pop-out menu at the top of every page.

Creating Tasks in Bulk

To create new Tasks in bulk:

  1. Log in to btPRO.

  2. Click 'Smart CRM'.

  3. Filter the Smart CRM to locate the desired leads to create tasks for in bulk.

  4. Select the desired leads using the checkboxes.

  5. Click 'More Actions' at the top of the contacts table.

  6. Select 'Add Task(s)' from the drop-down menu that appears.

  7. In the pop-up that appears, enter the:

    1. Title

    2. Date/Time the Task is due

    3. Assigned Agent

      1. You can select yourself or the Assigned Agent (if a lead is shared)

    4. Task details

  8. When completed, click 'Add Task'.

  9. The Tasks will appear in the lead profiles, your dashboard, and the 'Notifications' pop-out menu at the top of every page.

How to Create a New Task via Automation

Tasks can also be created through Smart Campaign automation.

Using Smart Campaigns to create and assign tasks is an efficient way to automate your contact nurturing, whether that is for leads or past clients.

Create a Task via Smart Campaigns

To create a Task via a Smart Campaign:

  1. Log in to btPRO.

  2. Click on 'Marketing'.

  3. Click on 'Smart Campaigns'.

  4. Click on the Smart Campaign you wish to add a task to.

  5. Click on the green "+ Add Action" button to the right.

  6. Choose 'Task' from the drop-down that appears.

  7. In the next step, enter the:

    1. Name of the Smart Campaign Action

    2. Task Template

    3. Time Unit (minutes, hours, days)

    4. Time Value - determines when to create the Task

  8. When ready, click 'Add' to save the action to the Smart Campaign going forward.
