Lead Duplication Glossary

  • Entity: This is the element a lead was captured by. This is an Agent, Office, Team, or Company.

  • Owner: This is the owner of the lead record. It is initially determined by how the lead was created (example: website, import, or manual creation).

  • Assignee: This is the Agent to whom the contact is assigned.

  • Unique Lead or Contact: This is defined by an email address and owner combination.

    • This means multiple leads can have the same email address, but all must have different owners. This allows multiple owners (even agents) to compete for the same client.

    • NOTE: A single Agent or Admin cannot own more than 1 lead with the same email address.

Overview

Lead Duplication functionality allows multiple leads with the same email address to be added to the CRM, so long as they have different lead owners. This allows agents to compete for and work for the same lead.

Lead Ownership MUST be enabled on a btPRO account in order for Lead Duplication functionality to exist.

How Duplicate Leads Can Be Added in the Smart CRM

There are several ways duplicate leads can be created.

Websites

Duplicate leads can be created if a visitor signs up on an individual agent's website and then the website of the company the agent belongs to.

For example, if an agent creates a Squeeze Page and posts it to Facebook and a user clicks on the post and signs up, but then also signs up through a different post linked to the company website - 2 leads will be created. One is owned by the agent and one by the company.

The same is true for any website page a lead may land on via the agent and company website.

Lead Dropbox

Duplicate leads can also be created via lead dropbox if both an agent and a company entity are pushing 3rd party leads into btPRO and the same lead is captured.

For example, if a lead inquires about multiple properties on Realtor.com and both the agent and company have lead dropbox configured, 2 leads will be created in btPRO.

Lead Duplication Facts

Here are some facts about Lead Duplication functionality:

  • Neither a single agent nor an admin can own 2 leads with the same email address.

  • If an agent or admin attempts to manually import or manually add a lead using an existing email address of a lead they own in their CRM, the system will not allow you to move forward.

  • Each unique lead will have separate Smart Campaigns, text messages, listing activity, and notes all kept in their respective lead profiles.

  • If a unique lead is unsubscribed by one agent, it does not unsubscribe them from another agent with a duplicate lead.

  • If a duplicate lead sends a text message to a shared Smart Number (one that multiple agents use), it will be routed to the Assigned agent with the most recent outbound text message to the lead.
