Dispensing Cards and Merging Balances Directly at the Value Add Center

Note: In order to use all the features listed in this article, your Value Adding Center (VAC) needs to be:

  • equipped with a touch screen monitor

  • equipped with a VAC4 control board (black control board shown below)


Dispensing a Card using a Management Card:

You can use a Management Card to dispense a new card, with a value preloaded onto it, directly from your VAC Kiosk

Step 1: Access the VAC's Management Menu

Place a Management Card in to the VAC's card holder, and enter the Full Access PIN for that management card.

Once you've input the PIN, you will see the following screen (only the Full Access PIN has access to this feature):

​Step 2: Trigger the Dispense Card Operation

Select the "Dispense Card" button from the menu.

The following screen will ask you for a "Preloaded Balance". This will be the amount that you would like to preload the card with.

If you are dispensing a card, for the purpose of converting it into a new system card, you should leave this preloaded balance field at $0.

Once you've input the preloaded balance amount, press the "Dispense Card" button. A new card will then be dispensed from the VAC, with the amount you've entered, preloaded onto it.

Once a Laundry Card is dispensed, the VAC will remain on the Dispense Card screen, and the Preloaded Balance value will also remain.

If you need to dispense multiple cards, with the same preloaded value on them; you can simply keep hitting the Dispense Card button to dispense multiple cards, all with the same preloaded value.

Remove the Management Card to return the VAC to it's home idle screen


Merge Balances using a Management Card:

If a customer has more than 1 laundry card, and they would like the balances merged onto a single laundry card, a Merge Balance operation can be preformed at a VAC kiosk using a Management Card.

Step 1: Access the VAC's Management Menu

Place a Management Card in to the VAC's card holder, and enter the PIN for that management card. This will bring up the following screen (depending on which PIN is entered):

Note: If you don't see the "Merge Balances" button on these screens, please contact support to have the software on your VACs updated

As the Merge Balance operation does not involve adding or removing balance, this operation can be accessed by either the Full Access PIN, or the Limited Access PIN for any Management Card.

​Step 2: Retrieve the balance from the 1st Laundry Card

Select the "Merge Balances" button from the menu.

You will then be prompted to remove the Management Card and insert the Users First Laundry Card.

Note: Which ever Laundry Card you place LAST during this operation will be the card that all the balances are merged onto

Once the first User card is placed, the screen will display the Laundry Card number, and the Balances that will be removed from this card (and eventually transferred onto another card).

Press the "Merge to Second Card" button to move on to the next step.

Step 3: Carryout the Merge Balance operation

You will then be asked to remove the first card, and place the second User card into the VAC's card holder.

At this point, the balances from the first card have been zeroed out by the system, and as soon as the second card is placed into the card holder, the balances from the first card will immediately be merged with the balances of the second card.

Step 4: Confirmation Screen/Continue Merging to another card

The next screen will show a summary of the initial Merge Balance operation.

The merge is now complete and you can remove the users laundry card to return the VAC to it's home idle screen, if you were only merging 2 card balances.

However, if you needed to merge more than 2 Laundry Card balances, you can press the "Continue Merge (to another card)" button and continue the merging process until all the customer's cards are merged.

The Continue Merge (to another card) button essentially brings you back to Step 3, where the balances on this 2nd card will be zeroed out, and transferred onto the 3rd Laundry Card that is placed into the Card Holder.

You can continue merging for as many cards as you need until all balances have been merged onto the last card

Note that all Laundry Cards have a maximum balance limit that they can store, so you'll want to ensure that merging balance does not bring the cards balance over it's maximum limit.

The internal memory chip inside the Laundry Cards have a physical maximum storage limit, that make it impossible for the card to store a balance higher than $655.35; however there are other reasons why Card Balance limits are usually set to a maximum of $325.

It's best to check your VAC's settings to see what it's Card Limit is currently set to, and ensure that when merging card balances, you are not exceeding the stores currently Card Limit:
