Discount Cards/Administered Accounts

How to configure specific Laundry Cards to have a individual discount

Written by Kurt Bernhard

You can configure any regular user card to always have a specified discount off of the currently displayed vend price.

For instance, you might have special cards for seniors that give 10% off; or cards for your nightly wholesale customers the give 40% off.

Note: This process of administering a regular user's card, to apply a discount to it, should NOT be confused with creating a Management Card for an employee.

An administrated card is simply a regular user card that can have a specified discount applied to it through the Laundro Portal.

A Management Card (Property Management Card) is a type of system card that allows special access and capabilities.

Configuring an individual Laundry Card discount

You can administer a discount to a Laundry Card via the Card Tracker, or via the Administered Accounts section of the LaundroPortal.

Via the Card Tracker

In the Card Tracker menu, search for the Laundry Card (either by Card #, or registered email/phone number).

Click on the Administrative Info tab and check the Administrate this card checkbox:

From here, you'll be configured the specific discount you'd like this card to have:

You can select one of the pre-defined discount groups, create and customize your own custom discount groups (using the Add Discount Group button), or you can edit a pre-existing Discount Group (using the Edit Discount Groups button).

For instance, you might want a more specific discount such as 25% off for Washers ONLY. If that discount group doesn't exist, you can create it by clicking the "+Add Discount Group" button and create this new custom discount group:

Once you've selected your preferred discount group, click the Save button to save the changes, and this card will now receive %25 off the Card Reader's displayed vend price, whenever this specific card is used to start a Washer in the location:

For details on what the Suite and Auto-Load fields are used for, review the Suite and Auto-Balance Setting section.

Via the Administered Accounts menu

From the main LaundroPortal page, navigate to the Administered Accounts menu (from the Management Tools section):

In this menu, you click the "+ Add Account" button to administer a Laundry Card to have a discount:

You'll enter the Laundry Card number (or LaundryCat App account number - for LaundryCat accounts you must enter the leaning "M" as well) into the Account field:

The other fields are similar to the fields found in the Card Tracker method.

To setup a discount, you'll select the desired Discount Group and then click the little Save icon to save the changes.

If the Discount Group you want does not yet exist, you can use the "+ Add Discount Group", or "Edit Discount Groups" buttons to create a new discount group, or edit an existing discount group:

For details on what the Suite and Auto-Load fields are used for, review the Suite and Auto-Balance Setting section.

Suite and Auto-Balance Settings

These settings are not specifically related to applying discounts to Laundry Cards/LaundryCat App accounts; but can be used in addition to administering a card/account for a discount.

Suite field

This field is completely optional and only used for organizational purposes.

It is possible to "administer" a card/account, but NOT set up a discount or auto load for it. Some customers use the Administer Accounts section just to keep track of a card, but not apply any special discounts to it.

Most customers will use the Suite field to group specific customers together.

For example, if you have 2 different wholesale customers, that each have multiple laundry cards, you may use the Suite field to group cards that belong to the respective companies.

Or maybe you issue your employees a personal regular laundry card to use, so in that case you can use the Suite field to group your employees cards together.

How you decide to use the Suite field is totally up to you; there is a filter setting that can be used to list card numbers by Suite name, which can be useful if you have a lot of cards and want to sort by your chosen Suite names:

Auto Load fields

The Auto-Load fields are hidden by default, but should you want to use this feature, reach out to the Laundroworks support team to have it enabled.

The way this feature works, is you can setup an Auto Load request that will be submitted to the VAC kiosk at the beginning of every month.

This is essentially the same thing as manually creating a load value request, except the system will automatically create these load value requests for you, on the 1st of every month, for whatever amount you configured in the Auto Load Amount field.

Just like load value requests, this amount needs to be physically picked up at a VAC kiosk when being applied to Laundry Cards.

For LaundryCat App accounts, the amount is loaded to the App account immediately (without the account holder needing to interact with any equipment).

For Laundry Cards, in the event that an Auto-Load request is NOT picked up within the month, the system will NOT create a 2nd Auto Load request for the following month. Whenever the system sees an old request that has not yet been picked up, it will simply skip any following Auto Load requests until the pending request has been applied to the card.

Notes about using Administered Cards

Retrieving a list of all cards/accounts with discounts applied

You can view all of the cards you've administered by clicking in to the Administered Accounts menu found in the Management Tools section of the LaundroPortal:

This will give you a list of all the Cards that are currently being administered, and this report can be downloaded (as a .CSV file) by clicking the blue Export button from this menu:

Administered Discounts are applied on top of other promotions running in the store

Any card you administer to receive a specified discount will always get this specified discount off of whatever the current displayed vend price is on the Card Reader's display.

If you are running some other discount that specifically discounts the price on the Card Reader (Time of Day/Week pricing discounts for example), an administered card will receive BOTH discounts.

For Example, if an administered card normally receives 10% off, and you've also set up your dryer readers so they are %50 off on Tuesdays, the customer with the 10% discount card will receive their 10% discount off of the already discounted 50% dryer readers on Tuesdays.

Issues Administering a Card

In order for the LaundroPortal to successfully lookup and find a card that you are searching for, (either via the Card Tracker, or the Administered Accounts section), the Laundry Card needs to have been initialized to the system.

When a card is dispensed by the VAC, or simply placed on the VAC's card holder (and the VAC is able to display that card's balance), the VAC will automatically read initialize it with the online system (if it hasn't been initialized already)

So for example, if you pick a card from a new box of cards and try to search for it, you will get no results as the online system does not know any about this specific card.

Placing this new card into the VAC's card holder, or dispensing the new card through the VAC's card dispenser, will initialize that card to your store, and it will then become searchable via the LaundroPortal at that point.
