Let’s Do This is pleased to offer our Event Cancellation Scheme that protects you from absorbing the cost of refunds if your event is cancelled, abandoned or postponed due to specific, uncontrollable causes, outlined in our Terms and Conditions.

This protection is built into the Let’s Do This platform, if you opt-in to this scheme. There's no upfront cost to you, and we handle the customer refunds!

Why?

Customer refunds can quickly become a financial, administrative and reputational headache if your event is cancelled, abandoned or postponed.

The Event Cancellation Scheme steps in in these unfortunate circumstances by guaranteeing 100% refunds to participants for covered reasons like extreme weather, strikes or national mourning. Let’s Do This manages the entire process for you, and there’s no upfront cost, the small fee is simply added to the participant’s registration.

You stay protected, your customers have the peace of mind knowing they will be refunded, and you avoid the stress of refund admin and claims.

How it works?

If your event unfortunately has to be cancelled, abandoned or postponed to another time, Let's Do This handles the entire process and customer refunds. If your event is impacted, you simply submit the details by completing this form.

You just need to notify Let's Do This no later than 2 working days from when you become aware the event is unable to go ahead or is cut short. You need to include the event name, date, location, and valid reason for cancellation/abandonment/ postponement.

To confirm that we will have take of the refunds, we’ll ask for as much evidence as possible, that the cancellation was necessary and unavoidable, including:

FAQs

Is there a cost?

There’s no direct or upfront cost to you. Instead, the additional protection is included in the participant’s platform fee. You can choose between:

  • Basic Protection adds 2.5% (3.5% for open water swims) to platform fee

  • Enhanced Protection adds 3.5% (4.5% for open water swims) to platform fee

Can I choose which events are covered?

Yes, you can opt-in on an event by event basis. To opt-in an event please complete this form per event.

Does this replace Event Cancellation insurance?
No, not entirely. It only covers customer refunds from the revenue generated through the Let’s Do This platform

How does this differ to Refund Protection?

Refund Protection is an optional add-on for participants that covers them if they can’t attend your event for personal reasons like illness, injury or travel disruption, if they claim, they’re refunded by the insurer and you keep the revenue. The Event Cancellation Scheme protects you as the organiser if your entire event is cancelled, postponed or abandoned due to uncontrollable circumstances like bad weather, strikes or national mourning. It ensures all participants get a full refund without you covering the cost or managing the admin. Together, they give peace of mind to both you and your participants by covering different scenarios.

Can I add the Event Cancellation Scheme to an event that’s already taking bookings?
Yes. However you will need to cover the associated fees for registrations already sold. Registrations from the point of opt in will come with an increased platform fee.

What’s not covered by the Event Cancellation Scheme?

  • Low ticket sales

  • Voluntary cancellations without cause

  • Fear or perceived threats without official action

  • COVID-19 or other communicable disease outbreaks

  • Any known issues at the time the event was declared

What should I do if my event is cancelled, abandoned, or postponed due to specific, uncontrollable causes?

If your event is affected by unexpected and uncontrollable causes, you can complete this form. Please ensure the following happens:

  • Complete the form no later than 2 working days from when you become aware the event is unable to go ahead.

  • Provide as much detail and supporting evidence as possible to help us process your claim efficiently.
