The Action Desk is the default landing page for fee earners when they log into Case Matters. It provides an immediate, prioritised overview of all critical tasks, urgent matters, and time-sensitive actions across every case assigned to the user. An intelligent algorithm analyses all cases and their associated tasks to surface the most important items, ensuring fee earners can see exactly what requires their attention the moment they begin their working day.

The page is organised into two main areas: a top-level dashboard highlighting the most critical items identified by the algorithm, and a detailed task board below that categorises all outstanding actions into four columns – Compliance Alerts, Action Required Today, Due Today, and Due This Week. Tasks are further organised by thematic tabs such as Documentation, Correspondence & Communication, Compliance, and Finance, allowing fee earners to focus on specific areas of their workload. Each task can be actioned directly from the page with a single click, or expanded via additional options for more complex workflows.

Provide fee earners with an intelligent, prioritised landing page that surfaces the most critical tasks and urgent actions across all their cases, enabling them to efficiently manage their daily workload from a single screen.

Navigation & Access

Accessing the Action Desk

The Action Desk is accessed automatically when logging into Case Matters:

  1. Log into Case Matters – the Action Desk loads automatically as the default landing page

The Action Desk can also be accessed at any time by clicking the Action Desk icon or tab in the main navigation panel.


Screen Components & Layout

The Action Desk contains two primary sections: the Priority Dashboard at the top and the Task Board below, supported by thematic navigation tabs and display controls.

1. Priority Dashboard

Location: Top of the Action Desk page

Purpose: Surface the most critical tasks identified by the algorithm that the fee earner needs to deal with today

Information Displayed:

Each panel in the dashboard displays:

  • Case Reference – The reference number of the case the task relates to

  • Client Name – The client associated with the case

  • Task Description – The nature of the task to be undertaken, such as:

- Chase outstanding ID

- Review documents before a deadline

- Settle a disbursement or bill

- Review urgent client correspondence

  • Priority Level – Each task is marked as Critical, High Priority, or Urgent

Interactive Elements:

  • Action Button – Click to immediately complete or action the task directly from the dashboard

  • Three Dot Menu (…) – Located at the bottom right-hand corner of each panel, providing additional actions:

- Reassign the task

- Reschedule the task

- View further details

- Open the task on the relevant page

- Open the case

2. Thematic Navigation Tabs

Location: Below the Priority Dashboard

Purpose: Filter the task board by thematic category to help fee earners focus on specific areas of their workload.

Available Tabs:

The navigation tabs filter the task board to show tasks related to specific themes:

  • All – Displays all tasks across all categories (default)

  • Documentation – Tasks related to document review, preparation, or management

  • Correspondence & Communication – Tasks related to client or third-party communications

  • Compliance – Tasks related to compliance requirements such as ID verification, conflict checks, and AML

  • Finance – Tasks related to billing, time recording, disbursements, and financial management

3. Task Board

Location: Below the Thematic Navigation Tabs

Purpose: Display all relevant tasks organised into four prioritised columns based on urgency and timing.

Task Board Columns:

Tasks are organised into four columns:

  • Compliance Alerts – Tasks related to compliance matters requiring attention, such as outstanding AML checks, conflict checks, or ID verification

  • Action Required Today – Tasks with a critical deadline or action that must be completed today

  • Due Today – Tasks with a specific deadline falling on today’s date, such as court submissions, contract exchanges, or solicitor correspondence deadlines

  • Due This Week – Time-sensitive tasks due at some point within the current week

Task Panel Information:

Each task panel within the columns displays:

  • Case Reference – The case the task is associated with

  • Task Description – The nature of the task (e.g., review documents, verify ID, complete time recording, complete billing)

  • Action Button – A context-sensitive button to immediately action the task, such as:

- Review Document / Review Draft

- Log Billable Time / Complete Time Recording

- Verify ID

- Complete Conflict Check

Three Dot Menu (…) on Each Task Panel:

The three dot menu at the bottom right of each task panel provides additional actions that vary depending on the task type:

Documentation Tasks:

  • Edit the document

  • Download the document

  • Add a note

  • View further details

  • Open the case

Time Recording & Billing Tasks:

  • Generate a bill

  • View time summary

  • Add a note

  • Open the case

  • View and manage time in more detail

4. Display & Configuration Controls

Location: Top right area of the Task Board

Purpose: Allow users to customise how tasks are displayed on the Action Desk

View Options:

  • Kanban View – Tasks displayed in four columns (Compliance Alerts, Action Required Today, Due Today, Due This Week) – the default view

  • List View – All tasks listed chronologically down the page rather than in columns

Panel Density:

  • Compact – Condensed panels showing less information, allowing more tasks to be visible on screen

  • Detailed – Expanded panels showing more information about each task

Background Options:

  • Standard Background – Default neutral background

  • Coloured Backgrounds – Apply colour-coded backgrounds to sections

Section Visibility:

Users can show or hide individual columns in the Task Board:

  • Toggle Compliance Alerts on or off

  • Toggle Action Required Today on or off

  • Toggle Due Today on or off

  • Toggle Due This Week on or off

Step-by-Step Procedures

Accessing the Action Desk

  1. Log into Case Matters – the Action Desk loads automatically as the landing page

  2. Alternatively, click the Action Desk tab in the main navigation panel at any time

Actioning a Task from the Priority Dashboard

  1. Locate the task in the Priority Dashboard at the top of the page

  2. Click the Action button on the panel to immediately complete the task

  3. For additional options, click the Three Dot Menu (…) at the bottom right of the panel and select the required action (reassign, reschedule, view details, or open case)

Filtering Tasks by Theme

  1. Locate the Thematic Navigation Tabs below the Priority Dashboard

  2. Click the relevant tab to filter by category: All, Documentation, Correspondence & Communication, Compliance, or Finance

  3. The Task Board will update to show only tasks matching the selected category

Actioning a Task from the Task Board

  1. Locate the task in the relevant column (Compliance Alerts, Action Required Today, Due Today, or Due This Week)

  2. Click the Action button on the task panel to immediately action it (e.g., Review Document, Log Billable Time)

  3. For additional options, click the Three Dot Menu (…) at the bottom right of the panel and select the required action

Changing the Display Mode

  1. Switch between Kanban View and List View using the view toggle control

  2. Adjust the Panel Density to Compact or Detailed depending on how much information you want to see per task

  3. Show or hide individual columns (Compliance Alerts, Action Required Today, Due Today, Due This Week) to customise the view

  4. Change the background to standard or coloured as preferred


Configuration Options

User Preferences

Users can customise their Action Desk experience:

  • Choose the default view mode (Kanban or List)

  • Set the preferred panel density (Compact or Detailed)

  • Show or hide individual task columns

  • Apply standard or coloured background themes

  • Select which thematic tab is displayed by default

System Settings

Administrators can configure:

  • Task prioritisation algorithm sensitivity and weighting

  • Available thematic categories and tab configuration

  • Priority level definitions (Critical, High Priority, Urgent)

  • Task column definitions and time-based thresholds

  • Default display settings for all users

  • Action button configurations per task type

Getting Started

  1. Log into Case Matters to view the Action Desk as the default landing page

  2. Review the Priority Dashboard for the most critical tasks requiring attention

  3. Browse the Task Board columns to see all outstanding actions organised by urgency

  4. Try the thematic navigation tabs to filter tasks by Documentation, Correspondence, Compliance, or Finance

  5. Action a task directly using the one-click action button on any panel

  6. Customise the display by switching views, adjusting density, or hiding columns

Best Practices

  • Review the Priority Dashboard first thing each day to identify the most critical items

  • Work through the Action Required Today column to ensure all urgent tasks are completed

  • Check the Due Today column for any deadline-specific submissions or correspondence

  • Use the Compliance tab regularly to stay on top of AML, ID, and conflict check requirements

  • Switch to Compact view when the task volume is high to see more items on screen

  • Use the Finance tab to keep on top of billing, time recording, and disbursement tasks
