Action Desk v1.00 release notes

The Action Desk is the default landing page for fee earners when they log into Case Matters within the Evo Legal Platform. It provides an immediate, prioritised overview of all critical tasks, urgent matters, and time-sensitive actions across every case assigned to the user. An intelligent algorithm analyses all cases and their associated tasks to surface the most important items, ensuring fee earners can see exactly what requires their attention the moment they begin their working day.

Tasks can be completed directly from the dashboard through context-sensitive Quick Action modals that pre-populate case information, automatically begin time recording, and surface relevant fields for the task type – including Send Memo, Send Email, Send Letter, Log Call Made, and Log Call Received. Additional task management options are available through a three-dot menu on every task panel, allowing fee earners to view the related case, edit the task, reschedule, reassign, or delete the task without navigating away from the Action Desk.

The page is organised into two main areas: a top-level dashboard surfacing today’s critical actions identified by the algorithm, and a detailed task board below that categorises all outstanding actions into Action Required Today, Due Today, and This Week columns. Tasks automatically move between columns in real time as deadlines pass.

Tasks are further organised by thematic tabs – All, Documentation, Communication, and Financial Matters – allowing fee earners to focus on specific areas of their workload. Display controls allow users to switch between Kanban and List views, group or ungroup tasks by type, and toggle between Compact and Detailed views.

Purpose

Provide fee earners with an intelligent, prioritised landing page that surfaces the most critical tasks and urgent actions across all their cases, enabling them to efficiently manage their daily workload and complete routine actions directly from a single screen.

Navigation & Access

Accessing the Action Desk

The Action Desk is accessed automatically when logging into Case Matters:

  1. Log into the Evo Legal Platform

  2. Select Case Matters from the main navigation

  3. The Action Desk loads as the default landing page

The Action Desk can also be accessed at any time by clicking the Action Desk icon or tab in the main navigation panel.


Screen Components & Layout

The Action Desk contains two primary sections: the Today’s Critical Actions dashboard at the top and the Task Board below, supported by thematic navigation tabs and display configuration controls.

1. Today’s Critical Actions Dashboard

Location: Top of the Action Desk page

Purpose: Surface the most critical tasks identified by the algorithm – including high priority items and the longest overdue tasks – that the fee earner needs to address today.

Information Displayed

Each panel within the dashboard displays the following:

  • Case Reference – the reference number of the case the task relates to

  • Client Name – the client associated with the case

  • Task Description – the nature of the task, such as:

  • Send a memo

  • Send an email

  • Send a letter

  • Log a call made or received

  • Priority Indicator – flags whether the task is high priority, overdue, or compliance-related

Interactive Elements

  • Action Button – the main call-to-action button on each panel, which adapts to the task type (e.g. Send Memo, Send Email, Send Letter, Log Call). Clicking opens the relevant Quick Action modal

  • Three Dot Menu (…) – located on each panel, providing additional task management options (see Three Dot Menu Options below)

2. Thematic Navigation Tabs

Location: Below the Today’s Critical Actions dashboard

Purpose: Filter the task board by thematic category to help fee earners focus on a specific area of their workload.

Available Tabs

  • All – displays all tasks across every category (default view)

  • Documentation – tasks related to document review, preparation, or management

  • Communication – tasks related to client or third-party communications, including memos, emails, and calls

  • Financial Matters – tasks related to billing, time recording, disbursements, and financial management

3. Task Board

Location: Below the thematic navigation tabs

Purpose: Display all outstanding tasks organised into prioritised columns based on urgency and timing.

Task Board Columns

Tasks are organised into the following columns:

  • Action Required Today – tasks that are overdue and require attention today, including the most overdue items at the top of the column

  • Due Today – tasks with a deadline falling on today’s date

  • This Week – time-sensitive tasks due at some point within the current week

  • Compliance – Tasks which have been applied with the Compliance tag

Tasks automatically move between columns in real time as time passes – for example, a task in This Week will progress to Due Today on its due date and to Action Required Today if it becomes overdue. The Action Desk reflects these changes without the user needing to refresh the page.

Task Panel Information

Each task panel within the columns displays:

  • Case Reference – the case the task is associated with

  • Task Description – a summary of the task to be undertaken

  • Action Button – a context-sensitive button to action the task directly. Common action buttons include:

  • Send Memo

  • Send Email

  • Send Letter

  • Log Call Made

  • Log Call Received

  • Three Dot Menu (…) – provides additional task management options

4. Display & Configuration Controls

Location: Top right of the Task Board

Purpose: Allow users to customise how tasks are displayed on the Action Desk.

View Options

  • Column View (Kanban) – tasks displayed in three columns: Action Required Today, Due Today, and This Week (default view)

  • List View – all tasks listed sequentially down the page rather than in columns

Grouping Options

  • Group – tasks are grouped together based on the type of action they relate to

  • Ungroup – all tasks are displayed individually without grouping

Panel Density

  • Compact View – condensed task panels showing key information only, allowing more tasks to be visible on screen at once

  • Detailed View – expanded task panels showing more information about each task


Quick Action Modals

Quick Action modals allow fee earners to complete common tasks directly from the Action Desk without navigating to the related case. When the action button on a task panel is clicked, the appropriate Quick Action modal opens with case and task information already pre-populated.

Common Modal Behaviour

All Quick Action modals share the following behaviour:

  • Pre-populated case – the case the task relates to is automatically populated and cannot be changed within the modal

  • Task description displayed – the description of the task being actioned is shown at the top of the modal for reference

  • Automatic time recording – a timer starts automatically when the modal opens and is logged against the related case on completion. The timer can be stopped manually if required

  • Required field validation – the action cannot be completed until all required fields have been populated

  • Save and Exit – partially completed actions can be saved and resumed later, allowing the user to continue with another task

  • Task completion – on completion, the task is marked complete, removed from the Action Desk, and the time recorded is logged against the related case

Send Memo

Triggered from any task panel where the action button is Send Memo.

Fields Captured

  • Correspondent – the recipient of the memo

  • Phrase Template – the standard phrase or template to base the memo on

  • Memo Details – the body of the memo

  • Follow-up Tasks – any subsequent tasks to be raised against the case

  • Time Recording – the time captured automatically against the case (manually adjustable if required)

Once all required fields have been populated, click Send Memo to complete the action.

Send Email

Triggered from any task panel where the action button is Send Email.

Fields Captured

  • Correspondent – the recipient of the email

  • Sender / Recipient Details – the from and to addresses for the email

  • Email Content – the body of the email message

  • Attachments – any documents to be attached to the email

  • Follow-up Tasks – any subsequent tasks to be raised against the case

  • Time Recording – the time captured automatically against the case

Once all required fields have been populated, click Send Email to complete the action.

Send Letter

Triggered from any task panel where the action button is Send Letter. The Send Letter modal supports an integrated document preview and editing flow via Word Online, allowing the user to review and amend the letter before it is sent.

Fields Captured

  • Case – pre-populated and locked to the case the task relates to

  • Correspondent – the recipient of the letter (required)

  • Phrase / Document Template – the standard phrase or letter template to base the document on (required). Selecting a template generates a preview of the letter populated with case-specific data

  • Document Preview – a preview of the generated letter is displayed within the modal for the user to review. This can be edited in MS Word online which will open in a new browser

  • Delivery Option – the method by which the letter will be sent (required)

  • Time Recording – the time captured automatically against the case (required, manually adjustable if needed)

  • Follow-up Tasks – any subsequent tasks to be raised against the case (optional)

Document Preview & Editing

Once a phrase or document template has been selected, a preview of the letter is rendered within the modal. From this preview the user can either:

  • Continue with the letter as is – proceed without making any amendments

  • Edit the letter in Word Online – click the Edit in Word Online button to open the letter in a new browser tab. The user can amend the document, save the changes, and the new version is automatically returned to the Send Letter modal as the version to be sent

Once all required fields (correspondent, phrase / template, delivery option, and time recording) have been populated, click Send Letter to complete the action. The task is marked as complete and removed from the Action Desk, and the time recorded is logged against the related case.

Log Call Made / Log Call Received

Triggered from any task panel where the action button is Log Call Made or Log Call Received.

Fields Captured

  • Correspondent – the party the call was with

  • Call Details – a summary of the call

  • Description – a description of the matter discussed

  • Time Recording – the time captured automatically for the duration of the call

Once all required fields have been populated, click Complete to log the call and close the task.

Complete Task (Generic Action)

Tasks that do not align to a specific Quick Action (such as Send Memo or Send Email) display a generic Complete button. Clicking Complete opens the relevant modal for the task type, where the user fills in any relevant details and clicks Complete Task to mark the action as done. The task is then removed from the Action Desk.


Three Dot menu options

Every task panel on the Action Desk – both within the Today’s Critical Actions dashboard and across the Task Board columns – includes a three-dot menu (…) that provides additional task management options. The same menu is available regardless of the task type.

Available Options

  • View Case – opens the case the task is related to, allowing the user to access the full case record

  • Edit Task – opens the task editor where the description, due date, and assignee can be amended

  • Reschedule – opens the reschedule modal, allowing the user to change the due date, time, assignee, or category for the task

  • Reassign – opens the reassign modal, allowing the task to be transferred to a different person

  • Delete Task – removes the task from the Action Desk and the related case if it is no longer relevant. A confirmation prompt is displayed to prevent accidental deletion.


Step-by-Step Procedures

Accessing the Action Desk

  1. Log into the Evo Legal Platform

  2. Select Case Matters from the main navigation menu

  3. The Action Desk loads automatically as the landing page

  4. Alternatively, click the Action Desk tab in the main navigation panel at any time

Sending a Memo from the Action Desk

  1. Locate the relevant task on the Today’s Critical Actions dashboard or in the Task Board

  2. Click the Send Memo button on the task panel

  3. The Send Memo modal opens – the related case is pre-populated and the task description is displayed at the top

  4. Time recording starts automatically (stop the timer manually if required)

  5. Complete the required fields – correspondent, phrase template, memo details, and any follow-up tasks

  6. Click Send Memo to complete the action

  7. The task is removed from the Action Desk, the time is logged against the case, and the action is recorded against the case

Sending an Email from the Action Desk

  1. Locate the relevant task on the Today’s Critical Actions dashboard or in the Task Board

  2. Click the Send Email button on the task panel

  3. The Send Email modal opens with the related case pre-populated and the task description displayed

  4. Time recording starts automatically

  5. Complete the required fields – correspondent, sender / recipient details, email content, attachments, and any follow-up tasks

  6. Click Send Email to complete the action

  7. The task is removed from the Action Desk and the time is logged against the related case

Sending a Letter from the Action Desk

  1. Locate the relevant task on the Today’s Critical Actions dashboard or in the Task Board

  2. Click the Send Letter button on the task panel

  3. The Send Letter modal opens with the related case pre-populated and the task description displayed at the top

  4. Time recording starts automatically

  5. Select the Correspondent (the recipient of the letter)

  6. Select the Phrase or Document Template to base the letter on. A document preview is generated within the modal using the selected template and case data

  7. Review the document preview

  • To proceed without changes, continue to the next step

  • To amend the letter, click Edit in Word Online – the letter opens in a new tab. Make the required edits and save. The updated version is automatically returned to the Send Letter modal

8. Select the Delivery Option for the letter (required)

9. Confirm the time recording captured against the case (required)

10.Add any Follow-up Tasks if required (optional)

11. Click Send Letter to complete the action. The task is marked as complete and removed from the Action Desk, and the time is logged against the related case.

Logging a Call from the Action Desk

  1. Locate the relevant task on the dashboard or Task Board

  2. Click the Log Call Made or Log Call Received button on the task panel

  3. The Log Call modal opens with the related case pre-populated

  4. Time recording starts automatically

  5. Complete the required fields – correspondent, call details, description, and time recording information

  6. Click Complete to log the call and close the task

Completing a Generic Task

  1. Locate the task on the Action Desk

  2. Click the Complete button on the task panel

  3. The relevant modal opens for the task type

  4. Complete the required fields

  5. Click Complete Task to mark the task as done. The task is then removed from the Action Desk

Saving a Quick Action and Resuming Later

  1. Open the Quick Action modal for the relevant task

  2. Begin populating the required fields

  3. Click Save and Exit if you need to attend to another matter before completing the action

  4. The task remains on the Action Desk and the partially completed information is retained

  5. Click the action button again to resume the task at a later point

Using the Three Dot Menu

  1. Locate the task panel on the dashboard or Task Board

  2. Click the three-dot menu (…) on the task panel

  3. Select the required option:

  • View Case – opens the related case

  • Edit Task – amend the description, due date, or assignee

  • Reschedule – change the date, time, assignee, or category

  • Reassign – transfer the task to a different person

  • Delete Task – remove the task (confirmation required)

Filtering Tasks by Theme

  1. Locate the thematic navigation tabs below the Today’s Critical Actions dashboard

  2. Click the relevant tab – All, Documentation, Communication, or Financial Matters

  3. The Task Board updates to show only tasks matching the selected category

Changing the Display Mode

  1. Switch between Column and List view using the view toggle in the top right of the Task Board

  2. Group or ungroup tasks to organise them by type or display them as a flat list

  3. Switch between Compact and Detailed view depending on how much information you need to see per task


Configuration Options

User Preferences

Users can customise their Action Desk experience:

  • Choose the default view mode (Column or List)

  • Choose whether tasks are grouped by type or displayed individually

  • Set the preferred panel density (Compact or Detailed)

  • Select which thematic tab is displayed by default.
