This guide explains best practices for ensuring that your email communications are correctly linked to an existing matter in Matter Management.
Basic workflow for email correspondence
In Matter Management, any “reply” to an email that is already linked to a matter will continue to be linked to that same matter. If you don’t follow the recommended workflow, new matters may be created unintentionally.
Recommended steps to link emails properly
Use one of the following methods to create the initial matter:
Create a matter directly in LegalOn
Send an email to create a matter
Send an email that includes the Matter intake email address in the TO/CC fields
Forward an email to the Matter intake email address
Submit a matter request through a Matter intake form
Once the matter is created:
Open the Matter details page and send an email to the requester/related parties using [New email] or [Reply].
The requester/related parties should always reply to that email thread.
Continue communication using replies within the same thread.
Note:
This keeps all related emails automatically linked to the same matter.
How to link a closed email thread
If you have an old or closed email conversation you want to link to an existing matter:
Save the relevant email as an .eml file on your computer.
If the email was not received by the matter assignee, ask the recipient to forward it to the assignee.
Go to the Matter details page → [Timeline].
Enter a note and attach the .eml file.
Click [Send] to save it as a message in the matter’s Timeline.
How to link an ongoing separate email conversation
If you have an active email conversation that should be linked to an existing matter:
Option 1: Create a new matter and link it
Include the Matter intake email address in the TO/CC field of the ongoing email to create a new matter.
Use the “Link matters” function to link the new matter to the original one.
Option 2: Consolidate the threads into the existing matter
From the Matter details page, send a new email to the parties involved in the separate thread.
In the message, ask them to reply to this new email going forward.
Instruct all recipients to use “Reply” for all future communication.
Any new replies will stay linked to the existing matter.
For any prior emails before you consolidated the threads:
Save them as .eml files and attach them to the [Timeline] as described in How to Link a Closed Email Thread.
