[New] Edit basic information of a executed contract

This article explains how to edit executed contract information in the [Contract management] tab.


Requirements

  • Module: Contract Management

  • Eligible users: All users in a contracted tenant

  • Access rights:

    • Administrator

    • Editor
      If you don’t have editing rights, please contact your IT administrator.


Edit the File Name

You can edit file names from [...] → [Edit] in the [Versions] tab.

For details on changing file type or status of executed contracts, see [Change File Type/Status of an Executed Contract].

Edit Information in the [Basic information] tab

  1. Open the contract file information.

    • For instructions, see [Viewing Executed Contract Information in the File Detail Page].

  2. For each field, click [Edit] and update the information.

Key Fields

Field

Description

Contract period

Transaction amount

Register the total amount for the contract period.

  • Auto-extracted if available in the contract.

  • Enter manually in half-width numbers.

  • Currency options: [JPY], [USD], [EUR].

  • For USD/EUR, enter up to 2 decimal places.

  • Input limit: 0–99,999,999,999,999.99.

Contract overview

Counterparty name (*1)(*2)

Editable as free text; multiple selections supported.

Internal party name (*1)(*2)

Editable as free text.

Contract title (*1)

Editable as free text.

Contract type (*1)(*3)

Select from available categories.

Position (*1)(*3)

Options change depending on the selected contract type; select your company’s position.

Language (*1)(*4)

Editable. Some features may be limited depending on language.

(*1) Extracted automatically on upload. Manual editing may be required.
(*2) Editing one of [Internal party name] or [Counterparty name] disables auto-extraction for the other.
(*3) Editing [Contract type] disables auto-extraction for [Position].
(*4) Non-Japanese/English languages may limit available features.

⚠️ Notes

  • Information in the [Basic information] tab applies only to the selected file.

  • When creating a new version, [Contract overview] and [Language] are carried over, but all fields can still be changed per version.

Contract period field description

The [Contract period] field differs depending on whether [Auto-renewal] is set to Yes or No.

If Auto-renewal = Yes

Field

Description

Contract status

Automatically filled based on the registered contract term. Possible values:

  • Active

  • Active - terminated

  • Inactive

Cannot be edited manually.

Auto-renewal status

Enter the next renewal action. Options:

  • Enabled

  • Disabled (*1)

  • Terminated (*1)

Signing date (*2)

Date of signature. Auto-extracted, but can also be entered manually or selected via calendar.

Effective date (*2)

Auto-extracted. Check [Same as contract date] to copy the same date. Editable manually or via calendar.

Initial term

Initial contract term (before first renewal). If start date and end date are provided, the term is calculated automatically.

Initial term end date (*2)

End date of the initial contract term. Auto-calculated if inputs are provided. Editable manually or via calendar.

Renewal term

The term after renewal. Auto-extracted but editable manually. Units: days / weeks / months / years.

Non-renewal notice period

How far in advance notice must be given to reject renewal. Auto-extracted but editable. Units: days/weeks/months/years before expiration.

Expiration date (*2)

  • If [Auto-renewal status] = Enabled, end date is auto-calculated.

  • If [Auto-renewal status] = Disabled or Terminated, you can enter a date manually.

Non-renewal notice deadline

Auto-calculated from the initial term, renewed term, and rejection period. Cannot be edited manually.

(*1) If [Auto-renewal status] = Disabled or Terminated, [Renewal rejection deadline] will not be auto-calculated.
(*2) Dates are auto-extracted or manually entered, based on PST (Pacific Standard Time).

If Auto-renewal = No

Field

Description

Contract status

Automatically filled based on the contract term. Possible values:

  • Active

  • Inactive

Cannot be edited manually.

Signing date (*)

Date of signature. Auto-extracted, but can be entered manually or via calendar.

Effective date (*)

Effective date. Auto-extracted. Option to copy the same date as the signing date. Editable manually or via calendar.

Contract term

Enter the valid period.

If start and end dates are provided, the duration is auto-calculated. Editable manually with units (days/weeks/months/years).

Expiration date (*)

Auto-extracted or manually entered. If unknown but ended, leave blank.

Unknown expiration date (mark as terminated)

If checked, [Contract status] automatically changes to Inactive.

(*) Dates are auto-extracted or manually entered, based on PST (Pacific Standard Time).
