How to manage organizations

Learn how to create, edit, and manage client organizations in Lexful, including context switching and organization settings.

What is an Organization?

In Lexful, an Organization represents:

  • A managed client (most common)

  • A vendor or partner you document

  • An internal department

  • Any entity you need to track separately

Each organization has:

  • Unique name and URL slug

  • Organization type (Customer, Vendor, Internal, Other)

  • Organization status (Active, Inactive, or custom)

  • Its own assets (documents, passwords, configurations)

  • Assigned users with specific access permissions


Accessing the Organization List

To view all organizations:

  • Click organization dropdown (top-left, shows current context)

  • Select “All Organizations”

  • You’ll see the organization list table

Alternative navigation:

  • If you’re on the Ask Lex homepage, clicking “All Organizations” in dropdown automatically shows organization list

What you’ll see:

  • Organization name

  • Organization type

  • Organization status

  • Created date

  • Actions column (gear icon for settings)


Creating a New Organization

Add an Organization

To create a new organization:

  • Navigate to All Organizations view (see above) and click the "Organizations" button on left menu.

  • Click “Add Organization” button (top-right)

  • Fill in required fields:

    • Name: Client or vendor name

    • Slug: URL-friendly identifier (auto-generates from name)

    • Type: Select from dropdown (Customer, Vendor, Internal, Other)

    • Status: Select Active or Inactive

  • Click “Save

What happens next:

  • Organization created immediately

  • Appears in organization dropdown

  • Available for asset creation

  • Users can be assigned access

Organization Name

Requirements:

  • 3-100 characters

  • Can include spaces and special characters

  • Should match client’s official business name

Examples:

  • “Pacific LLC”

  • “Apex Collective Enterprises”

  • “Strategic Law Firm”

Best practices:

  • Use full legal name when possible

  • Be consistent with naming conventions

  • Avoid abbreviations that could confuse team

Organization Slug

The slug is the URL identifier for this organization.

Format:

  • Lowercase letters, numbers, hyphens only

  • Auto-generates from name (spaces become hyphens)

  • Can be edited before saving

Examples:

  • Name: “Pacific LLC” → Slug: “pacific-llc”

  • Name: “Apex Collective” → Slug: “apex-collective”

  • Name: “Strategic Law Firm” → Slug: “strategic-law-firm”

URL usage:

app.lexful.com/pacific-llc 
app.lexful.com/apex-collective
app.lexful.com/strategic-law-firm

⚠️ Important: Once created, changing the slug logs out any users currently viewing that organization.

Organization Type

Available types:

  • Customer: Managed clients (most common)

  • Vendor: Partners, suppliers, service providers

  • Internal: Your own MSP departments or infrastructure

  • Other: Anything else

Usage:

  • Helps filter and organize clients

  • Used in reporting and analytics

  • Can filter organization list by type

Note: After IT Glue migration, custom types may import as “Other”. You can edit these to match Lexful’s standard types.

Organization Status

Available statuses:

  • Active: Current, actively managed organization

  • Inactive: Former client, archived, or suspended

Usage:

  • Filter active vs. inactive clients

  • Used in analytics and reporting

Best practices:

  • Mark as Active when client is under contract

  • Mark as Inactive when contract ends

  • Review quarterly to ensure accuracy


Editing Organizations

Access Organization Settings

Method 1: From organization homepage

  • Switch to specific organization (select from dropdown)

  • Click "Account"

Method 2: From organization list

  • Navigate to All Organizations

  • Find organization in table

  • Click the Organization name link

  • Opens organization settings directly

Edit Organization Details

To update organization:

  • Open organization settings (see above)

  • Click “Edit” button (if not already in edit mode)

  • Modify fields:

    • Name: Update client name

    • Slug: Change URL identifier

    • Type: Change organization category

    • Status: Toggle Active/Inactive

  • Click “Save Changes”

Changes take effect immediately for all users.

Changing Organization Slug

⚠️ Warning: Changing the slug has immediate effects:

What happens:

  • URL changes for this organization

  • Users currently viewing this org are logged out

  • Bookmarks to old URL break

  • Client portal URL updates (if enabled)

When to change slug:

  • Client rebrands or changes name

  • Original slug had typo

  • Merging with another organization

How to change safely:

  • Notify team of pending change

  • Document new URL

  • Make change during off-hours if possible

  • Update internal documentation and bookmarks

  • Inform external users (client portal) of new URL

Example:

Old: app.lexful.com/pacific 
New: app.lexful.com/pacific-llc

All users at /pacific logged out Must navigate to /pacific-llc going forward

Updating Organization Status

Active → Inactive:

Common when:

  • Client contract ends

  • Client acquired by another organization

  • Temporarily suspending services

To mark inactive:

  • Edit organization

  • Status → Select “Inactive”

  • Save changes

Effect:

  • Organization stays in system

  • All data preserved

  • Can filter out of views

Inactive → Active:

Common when:

  • Reactivating former client

  • Contract renewed

  • Bringing organization back into management

To mark active:

  • Edit organization

  • Status → Select “Active”

  • Save changes


Working with Organization Context

Understanding Context

Context determines what data you see and where actions apply.

Two context modes:

1. Global Context (All Organizations):

  • View data across all clients

  • Search spans entire knowledge base

  • Asset tables show all organizations

2. Organization Context (Specific Client):

  • View data for one client only

  • Search limited to that client

  • Asset tables filtered to that organization

Switching Context

To change context:

  • Click organization dropdown (top-left)

  • Select organization from list:

    • “All Organizations” for global view

    • Specific organization name for client view

  • Page refreshes to new context

  • All data updates to reflect selection

Visual indicators of context:

  • Organization name in dropdown

  • Asset counts update

  • URL changes to include org slug

  • Breadcrumbs reflect context

How Context Affects Features

Ask Lex:

  • Global context: Searches all knowledge

  • Org context: Searches only that organization’s content

Asset Tables:

  • Global context: Shows assets from all orgs (with org name in column)

  • Org context: Shows only that org’s assets

Document Creation:

  • Created in current context

  • Auto-assigned to active organization

Navigation:

  • Breadcrumbs show context

  • URL reflects active organization


Organization List Table Features

Sorting Organizations

To sort the table: Click three dots in column header

Sortable columns:

  • Name (alphabetical)

  • Type (grouped by category)

  • Status (Active first or Inactive first)

  • Created date (oldest or newest first)

Filtering Organizations

To filter the table: Use the Search Organizations search field at the top of the list.

Managing Table Columns

Current capabilities:

  • Drag column headers to reorder

  • Click three dots in column header → "Choose Columns"

  • Columns persist after refresh


Best Practices

Organization Management

Do:

  • Use consistent naming conventions

  • Keep organization types current

  • Review and update status quarterly

  • Use descriptive Quick Notes

  • Choose meaningful slugs

Don’t:

  • Create duplicate organizations

  • Leave inactive orgs as “active”

  • Use confusing abbreviations in names

  • Change slugs frequently

  • Delete organizations (mark inactive instead)

Context Switching

Do:

  • Check current context before creating assets

  • Use global context for cross-client searches

  • Use org context when working on specific client

  • Pay attention to URL changes

Don’t:

  • Create assets in wrong organization by accident

  • Forget which context you’re in

  • Leave context on specific org when browsing all data


Troubleshooting

Can’t Create Organization

Problem: “Create Organization” button missing

Cause: You don’t have Admin permissions

Solution: Contact MSP Owner to request Admin role

Organization Doesn’t Appear in Dropdown

Problem: Created organization but can’t find it in dropdown

Possible causes:

  • Still on organization homepage (refresh to see in dropdown)

  • User doesn’t have permission to that org (check User Management)

  • Browser cache issue

Solutions:

  • Refresh page

  • Verify user has access to organization

  • Clear browser cache

  • Log out and back in

Can’t Edit Organization

Problem: Edit button missing or greyed out

Cause: You don’t have Admin or Support role

Solution: Request appropriate role from MSP Owner

Changed Slug, Now Can’t Access

Problem: Updated slug and now getting “Organization not found”

Cause: Using old URL

Solution:

  • Update URL to new slug: new-slug.us.lexful.app

  • Update bookmarks

  • Use organization dropdown to navigate instead of direct URL
