How to manage your space availability on lo:live

This guide provides step-by-step instructions for location providers on how to monitor and update the availability of their spaces using the lo:Live Location Portal

Introduction

The Lo:Live Location Portal helps you manage the availability of all your spaces, ensuring hirers see accurate dates when making booking requests. This guide explains how you can easily monitor the availability status of each space and update your calendar, add notes, and manage special events efficiently.

We work with a range of location providers of all business sizes, and our availability calendar is built with flexible options to suit everyone. As a result, there are multiple ways to update your calendar. You may not need to use all of them—simply choose the method that works best for you. However, we’ll walk you through all the options below.

Viewing the Availability Status of your Spaces

  • On the bar on the left-hand side of the screen, click Availability.

  • This will direct you to the Outdated availability manager, where you can view a list of all your spaces along with the date their calendar was last updated.

  • You can filter this view to show only spaces with outdated calendars (calendars that have not been updated in the last 7 days) by clicking on the Outdated tab.

  • You can also filter the view to display only spaces that are up to date by clicking on the Updated in last week tab.

  • If you would like to filter the view to show only spaces at a specific location, you can do so by selecting the location from the drop-down menu in the top-right corner of the screen.

  • In any of these views, you can view or update a space’s calendar by clicking the green Update availability button next to the space’s name.

  • If there have been no changes to your calendar but you want to confirm that it is up to date, click the white Mark as updated button next to the space’s name.

  • You can quickly mark multiple or all of your spaces as up to date by ticking the boxes next to them and clicking the Mark all as updated button in the top-left corner.

Updating Availability

You have three options for updating your availability: Month view, Year view, and Create new activity. It doesn’t matter which one you use—choose the method that you find easiest.

Updating in Month View

  1. When viewing the calendar, click the green "Update Calendar" button in the top right-hand corner and select "Edit availability".

  2. Click on the date you want to update.

  3. Choose either Available, Unavailable, Optioned, or Booked from the menu.

  4. Click Apply to confirm the update.

💡 Tip: Editing your calendar in Month view is ideal if you are updating multiple spaces at once but only need to manage availability for the next few months.

Updating in Year View

  1. When viewing the calendar, click the green "Update calendar" button in the top right-hand corner and select "Edit availability".

  2. Click on the start date and end date of the period you want to update.

  3. Choose either Available, Unavailable, Optioned, or Booked from the menu.

  4. Click Apply to confirm the update.

5. Use the Space drop-down menu to select the space you want to update.

💡 Tip: Editing your calendar in Year view is best if your availability changes frequently throughout the year. It also makes it easier to compare with your internal calendar.

Updating with Create Activity

  1. When viewing the calendar, click the green "Update calendar" button in the top right-hand corner and select "Create new activity".

  2. Select the start and end dates for the activity.

  3. Choose either Available, Unavailable, Optioned, or Booked from the menu.

  4. Select the space or spaces from the drop-down menu.

  5. Click the green "Create" button to save the update.

💡 Tip: Editing your calendar with Create new activity is best when you have only one change to make and already know the current status of the dates you're updating.

Adding Calendar Notes

  • While viewing the calendar, click the green "Update calendar" button in the top right-hand corner, then select "Create calendar note".

  • Select the date range for which you want the note to appear.

  • Enter your note in the text field.

  • Select all the spaces whose calendars you want the note to appear on.

  • Click the green "Create" button to save the note.

Q: Can I block out dates for internal use?

A: Yes, mark dates as Unavailable to prevent hirers from booking them.

Q: Can I override availability for priority bookings?

A: Yes, you can manually adjust the calendar and override previous settings if needed.

Q: How far in advance can I set availability?

A: You can manage availability for any future date in the system.
